Contract Duration: 6 months (3 months possible extension)

Location: Cityhall

Salary: Up to $3,200 (commensurate with experience)

Working Hours:

  • Monday to Thursday: 8:30 AM – 6:00 PM
  • Friday: 8:30 AM – 5:30 PM
Role Overview

We are seeking a detail‑oriented and proactive Executive to manage office operations, facilities, and stakeholder engagement. This role involves overseeing day‑to‑day office management, supporting meetings and events, and providing general administrative assistance to ensure smooth office operations.

Key Responsibilities
Office & Facilities Management
  • Manage daily office operations, including inventory, equipment, stationery, and vendor coordination.
  • Liaise with facilities teams, security, and contractors on office‑related matters.
Membership & Stakeholder Management
  • Maintain databases for Panels, Committees, and Boards, handling appointments, renewals, invoicing, and membership fare collection.
  • Coordinate with Boards, Committees, and stakeholders on ad‑hoc matters.
Enquiries & Correspondence
  • Respond to phone, email, and in‑person enquiries or direct them to the appropriate team.
  • Handle and coordinate general correspondence.
Meetings & Events
  • Support logistical and administrative needs for Board, Committee, and other meetings, including scheduling and preparation.
  • Assist with events, external visits, and staff welfare/team‑bonding activities.
General Administrative Support
  • Prepare monthly and ad‑hoc reports and support company secretarial and governance tasks.
  • Process invoices, travel arrangements, claims, and other administrative matters.
  • Provide administrative support to the Chief Executive and deputies.
  • Undertake additional duties as assigned to support office operations.
Requirements
  • Diploma holder with relevant experience in office administration or office management.
  • Proficient in Microsoft Office and comfortable working with office databases.
  • Highly organized, meticulous, and able to manage multiple tasks independently.
  • Self‑motivated, dependable, and able to work collaboratively in a team.
  • Strong interpersonal and communication skills, professional and approachable.
  • Customer‑service oriented, comfortable with front‑facing duties, liaising with vendors, and engaging members on renewals.
