Job Description

AI Singapore (AISG) is a national AI programme launched by the National Research Foundation (NRF) to anchor deep national capabilities in Artificial Intelligence (AI).

The programme office is hosted by the National University of Singapore (NUS) and brings together all Singapore-based research institutions and the vibrant ecosystem of AI start-ups and companies developing AI products to perform use-inspired research, grow the knowledge, create the tools, and develop the talent to power Singapore’s AI efforts.

AI Singapore is sourcing for a temporary staff to join the Administration Team to assist in various administrative tasks such as basic Facilities management functions, Finance, Procurement, ad hoc general administrative tasks, as well as basic coordination of projects and events supporting AI Singapore.

The incumbent will support the team for the period of February to April 2026.

Duties and Responsibilities
  • Perform general administrative duties including filing, printing, housekeeping, inventory management, mail collection, maintaining of office supplies and any other ad hoc tasks.
  • Assist in the coordination of company laptop and equipment verification exercises, which includes the preparation and issuance of labels.
  • Assist in the coordination of office reorganisation activities such as packing, labelling, moving and updating records for company equipment (e.g. laptop, monitor, kitchen appliance, stationery, merchandise, etc.)
  • Assist with equipment issuance & return related logistics, ensuring complete & accurate handover records, asset labelling, and tracking.
  • Assist with events coordination, including sourcing for vendors, catering & logistics.
  • Assist in tracking and raising purchase requests, receiving deliveries and distribution of office & pantry supplies.
  • Support the Administrative teams in day-to-day activities across facilities management, finance, procurement, human resources and project management.
  • Support the Administrative teams on any other ad hoc tasks assigned.
Qualifications
  • Minimum GCE ‘O’ Levels and above.
  • Possess a pro-active, hands‑on attitude and willing to take on new tasks and challenges.
  • Able to manage multiple tasks and meet deadlines.
  • Proficient in Microsoft Office applications, especially in MS Word & MS Excel.
  • Meticulous with strong attention to details.
  • Strong professional communication skills both written and spoken.
  • Able to perform lifting and carrying of objects weighing between 6-12kg, following safe practices and with the assistance of devices such as trolleys.
  • Able to commit full-time hours from February to April 2026.
