Job summary

The ideal candidate will report directly to the Project Manager and handle responsibilities including payroll processing, document organization, and assisting with employee onboarding. Roles & Responsibilities

  • Report directly to the Project Manager.
  • Update organization charts, project directories, and maintain weather and manpower records quarterly for monthly project report submissions.
  • Manage and screen all incoming calls, raise purchase orders for office supplies, and oversee site office equipment such as printers, scanners, WiFi, and staff computers. Liaise with the HR department when necessary.
  • Handle workers’ monthly salaries, supplier payments, and petty cash. Manage site working passes, induction records, and assist in drafting correspondence for project consultants, clients, and subcontractors. Ensure systematic filing of all delivery orders and documents for annual site and government audits.
  • Maintain site staff timesheets, leave and overtime applications, and facilitate the onboarding process for new employees.
  • Distribute site correspondence to staff, ensuring timely endorsement and proper filing in compliance with the company’s ISO requirements.
  • Understand and process workers' payroll policies, ensuring timely and accurate salary disbursements to HQ.
  • Update foreign workers’ addresses, oversee their attendance at required courses, and ensure proper handling of work permits and passports.
  • Assist in arranging workers' dormitory accommodations and transportation.
  • Support site staff with hardware material requisitions, maintaining accurate records of orders and delivery orders.
  • Manage and resolve project-related conflicts, feedback, and complaints.
  • Act as a liaison between internal and external parties, coordinating with clients, residents, government bodies, and other stakeholders as required.
  • Prepare and distribute circulars, letters, notices, and progress updates.
  • Attend meetings and dialogue sessions as necessary.
  • Seek management approval for any proposed action plans related to project matters.
  • Coordinate and arrange necessary courses for site staff and workers.
  • Ensure proper document filing and organization.
  • Provide general administrative support to the project team.
  • Perform any other assigned duties.
  • Possession of at least one Workforce Skills Qualification (WSQ) Statement of Attainment is preferred.
