Job description
Primary Objectives of Position

This role is responsible for executing end-to-end procurement activities in alignment with organizational requirements, policies, and timelines. This includes managing vendor sourcing, tender processes, contract negotiations, and ensuring timely delivery of goods and services. The role plays a key part in achieving cost efficiency, sustainable procurement, and stakeholder satisfaction, while driving continuous improvements in procurement performance and compliance.

Job Responsibilities
Vendor Management
  • Identify, assess, and pre-qualify potential vendors and service providers.
  • Manage vendor onboarding into the Procurement system.
  • Foster supplier relationships and oversee performance, ensuring compliance with contractual obligations.
Procurement Execution & Support
  • Procure goods and services in accordance with requestors’ requirements, ensuring quality, cost-effectiveness, and timely delivery.
  • Provide support in raising Purchase Requisitions (PRs) in procurement system when needed.
  • Process and issue Purchase Orders (POs) and Letters of Award (LOAs).
  • Follow up with service administrators on outstanding invoices.
  • Resolve issues related to received goods or services by liaising with internal and external stakeholders.
Tender and Sourcing Process
  • Manage RFQ/ITQ and tender processes.
  • Negotiate pricing, contract terms, and conditions with suppliers.
  • Evaluate bids, participate in tender interviews, and conduct site visits as required.
Stakeholder Collaboration & Communication
  • Collaborate with internal departments to understand and fulfill procurement needs.
  • Work independently with stakeholders, adhering to project timelines and procurement schedules.
  • Confidently brief and guide stakeholders on procurement processes, policy requirements, and best practices.
Data Reporting, Policy Compliance & Strategic Sourcing
  • Prepare and maintain procurement dashboards to track key metrics, savings, supplier performance, and procurement pipeline.
  • Monitor and forecast pricing trends to assess their impact on procurement strategies.
  • Identify and implement cost-saving opportunities such as demand consolidation and supplier optimisation.
  • Ensure compliance with procurement policies, procedures, and internal controls.
  • Take ownership of upkeeping and improving procurement policies and standard operating procedures.
  • Recommend process enhancements to improve procurement efficiency and governance.
Sustainable Procurement
  • Incorporate environmental and social responsibility criteria into sourcing and supplier selection.
  • Promote green procurement by prioritising eco-friendly and ethically sourced goods and services.
  • Support local or sustainable vendors where feasible to reduce carbon footprint and drive positive impact.
  • Engage and assess suppliers on sustainability performance and alignment with organisational values.
Other Duties
  • Perform any other procurement-related or ad hoc tasks as assigned by supervisors.
Job Specifications
  • Diploma or Degree in Supply Chain Management, Business, or a related field.
  • At least 5 years of relevant procurement experience, preferably in a senior or mid-level procurement role.
  • Proven experience in preparing procurement dashboards and tracking procurement performance metrics.
  • Strong working knowledge of procurement policies and procedures, with confidence in conducting briefings and stakeholder communications.
  • Experience in procuring for IT departments (e.g., software, hardware, licenses, IT services) is an advantage.
  • Proficiency in procurement systems (experience with NetSuite is an advantage).
  • Strong analytical, organisational, and communication skills.
  • Proactive, detail-oriented, and able to work independently in a fast-paced environment.
  • Demonstrated ability to collaborate with cross-functional teams and manage multiple priorities.
  • Familiarity with sustainable procurement practices and supplier engagement on sustainability performance is a plus.
  • Proficient in Microsoft office suite.
  • Familiarity with legal regulations and ethical standards related to procurement.
