IFC’s Singapore office is looking to recruit an experienced Executive Assistant who will provide a full range of executive support to the Regional Vice President Asia Pacific (RVP). The Office of the RVP provides strategic leadership and oversight for the World Bank Group’s regional operations, partnerships and policy dialogue with client governments and development partners. The EA will act as a primary point of contact for internal and external stakeholders, manage the RVP’s agenda and communications, and provide high‑level administrative and logistical coordination to facilitate the RVP’s leadership and decision‑making functions.

Duties and Responsibilities
  • Manage the RVP’s calendar and prioritize meetings across time zones.
  • Draft and proofread routine correspondence, produce bank‑standard reports and documents.
  • Coordinate the flow of information to and from the RVP office.
  • Organize briefing materials and presentations, and follow up on actions and decisions from meetings.
  • Maintain strict confidentiality of all sensitive and strategic information.
  • Coordinate complex travel arrangements, mission planning, visas, itineraries and logistics.
  • Manage office records, filing systems and databases in compliance with WBG policies.
  • Process administrative requests such as procurement expense claims and vendor coordination.
  • Provide full logistical and secretarial support to the country front office, including arranging travel schedules, organizing meetings, senior management visits and knowledge‑sharing events.
  • Develop shared tracking tools and disseminate knowledge and best practices to ensure efficient delivery of administrative and support services.
  • Support organization of high‑level events, conferences and regional meetings.
  • Track assigned tasks and project steps, coordinate with staff and provide assistance on project‑related matters.
  • Identify and resolve diverse issues and problems as they arise, interpreting existing procedures and processes independently.
Office Administrator
  • Mentor less experienced staff, share knowledge and promote cooperation within the ACS community.
  • Provide backup support to ACS peers during heavy workload.
  • Work collaboratively with ACS staff across all WBG offices.
  • Maintain office repairs and supervise junior ACS and agency staff.
  • Liaise with facility management vendors.
Selection Criteria
  • Bachelor’s degree with a minimum of 8 years of prior experience in administrative assistance and office management.
  • Excellent interpersonal and communication skills; written and spoken English; proficiency in another regional language an advantage.
  • High attention to detail and strong organizational time management and multitasking skills.
  • Ability to solve problems quickly and efficiently, handle highly sensitive confidential information and work well under pressure.
  • Dependability, sense of urgency, integrity and confidentiality.
  • Advanced proficiency in Microsoft Office Suite, Teams, SharePoint, OneDrive and AI tools.
  • Flexibility and willingness to work extended hours.
