A Facilities Management Company in Singapore seeks an Administrative Leader with 4-8 years of experience in facilities management governance. The role involves overseeing departmental processes, supporting budget planning, and managing stakeholder communications. Provide administrative leadership and accountability for Facilities Management operations and governance
Oversee departmental administrative processes, reporting timelines, submissions, and deliverables
Act as the administrative liaison for system matters with external stakeholders
Support the Head of Facilities Management in organising meetings, briefings, and management reports
Process service provider invoices, claims, billings, and payments accurately and within timelines
Support budget planning, annual submissions, accruals, expenditure tracking, and monitoring of FM contracts and projects (CAPEX, OPEX, MOHRR)
Coordinate procurement activities including sourcing, purchasing, and consolidation of service agreements and ATAs
Review, streamline, and enhance administrative procedures to improve efficiency and compliance
Maintain structured and up-to-date FM records, documentation, and shared information systems
Oversee FM asset records, inventories, minor equipment, and IT-related assets
Perform quality checks on incoming documentation such as O&M manuals and as-built drawings
Ensure accuracy and currency of SOPs, master document lists, inventories, and quality records
Support and participate in internal and external audits, inspections, and regulatory reviews
Work closely with contract management teams on managing agent matters including staff compliance, work orders, permits, licences, and claims
Monitor contract-related documentation, staff movements, and operational compliance
Bachelor Degree in Facilities Management, Business Administration, Engineering, or related discipline
4 – 8 years of relevant experience in facilities management administration/ governance
Strong exposure to procurement, budgeting, contract administration, and compliance
Experience working in large, structured, or regulated environments preferred
Highly organised, detail-oriented, and confident in managing multiple stakeholders
Strong communication and documentation skills
