Job summary

A law firm in Singapore is seeking an HR and Administrative Support professional to manage operations, assist with recruitment, and maintain personnel files. Candidates should have a NITEC or Diploma in Business Administration or a relevant field and strong organisational skills. Proficiency in Microsoft Office is essential. The firm requires candidates to be based in Singapore, as relocation support will not be provided.

Qualifications

  • Minimum NITEC or Diploma in Business Administration, Human Resources, or a related field.
  • Prior experience in HR administration or office administration is preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Responsibilities

  • Answer, screen, and forward incoming calls professionally.
  • Manage and replenish office and pantry supplies.
  • Prepare HR-related letters, forms, and documentation.
  • Support recruitment activities, including liaising with Recruitment Directors.
  • Oversee day-to-day HR and administrative operations.

Job description

Key Responsibilities (include but are not limited to):

  • Answer, screen, and forward incoming calls in a professional and timely manner
  • Manage and replenish office and pantry supplies
  • Prepare HR-related letters, forms, and documentation
  • Support recruitment activities, including forwarding resumes, liaising with Recruitment Directors, and coordinating interview schedules
  • Maintain and update staff leave records and personnel files
  • Oversee day-to-day HR and administrative operations
  • Assist with employee onboarding and offboarding processes, including applications for relevant work passes
  • Provide general administrative support to secretaries and the wider team as required

Requirements:

  • Minimum NITEC or Diploma in Business Administration, Human Resources, or a related field
  • Prior experience in HR administration or office administration is preferred
  • Strong organisational skills with the ability to multitask and prioritise effectively
  • Good verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to maintain confidentiality and handle sensitive information with discretion

Candidates must be based in Singapore.

Overseas candidates will not be considered as we do not provide relocation support.
