Job Summary
We are looking for a friendly, organised, and reliable Receptionist to be the first point of contact at our academy office. This role plays a key part in creating a welcoming environment for learners and visitors, while supporting daily administrative and operational tasks.
Key Responsibilities
Front Desk & Customer Service
- Greet learners and visitors in a warm and professional manner
- Handle walk‑in enquiries, phone calls, emails, and messages promptly and politely
- Provide accurate information about classes, schedules and academy policies
- Manage visitor logs and maintain a tidy reception area
Administrative Support
- Assist with learner walk‑ins’ registration by referring to relevant sales staff on site
- Maintain and update learner records, attendance lists, and class schedules
- Provide administrative support to trainers on‑site (if required) for handing out assessment record forms etc.
Coordination & Communication
- Liaise with trainers and internal teams on class arrangements and daily operations
- Communicate schedule changes or announcements to learners when required
- Assist with basic reporting and documentation
General Office Duties
- Manage office pantry supplies and coordinate replenishment
- Handle mail, deliveries, and courier arrangements for pantry stock, lunch for learners etc
- Support ad‑hoc administrative tasks assigned by the academy management team
Requirements & Qualifications
- Minimum ITE NiTec or equivalent qualification
- Prior experience in a receptionist, front desk, or administrative role is preferred
- Experience in an education, training, or academy environment is an advantage
- Strong communication and interpersonal skills
- Comfortable using basic office systems (email, spreadsheets, scheduling tools)
- Well‑organized, detail‑oriented, and able to multitask Professional appearance and positive attitude
