Job summary

A leading property management firm in Singapore is looking for a Secretary to provide administrative support to Project Managers and the Property Service Manager. The ideal candidate will have at least 2 years of experience in a secretarial role, with strong organizational, communication, and IT skills. Responsibilities include managing documents, answering calls, and arranging meetings. This position starts in February/March 2026.

Qualifications

  • Experience in a secretarial role for 2 years and above.
  • Pass in English is required.

Responsibilities

  • Serve as Secretary to Project Managers / Property Service Manager.
  • Update ISO 9001 / ISO 14000 documents.
  • Filing documents, both soft and hard copies.
  • Assist in answering phone calls and taking messages.
  • Arrange meetings and type documents.
  • Manage queries from purchasers.

  3. Experience in secretarial role 2-years and above.

  1. Secretary to Project Managers / Property Service Manager
  2. Update of ISO 9001 / ISO 14000 documents
  3. Filing of documents
  4. Filing of soft copy and hard copy drawings
  5. Rotation of switchboard duty when receptionist is on lunch duty or annual leave
  6. Answer phone calls / Take messages
  7. Arrange meetings
  8. Typing
  9. Arrange for cheque and forms to be signed for authority submission
  10. Get contract documents and plans for signature
  11. Receipt of tender documents / Monitor tender interviews
  12. Newspapers cuttings
  13. Making of drinks for meetings / Photocopy of minutes & documents / arrange chairs / clean white boards at meeting room
  14. Add papers (daily brillante a toner to photocopier. Call for servicing of photocopier, when necessary.
  15. Receipt and return of samples to suppliers
  16. Ordering of groceries for department
  17. Handle queries from purchasers
  18. Update Project Data for respective projects
