POSITION SUMMARY - This Position Is Based In Singapore
The Singapore Hub Office and People Administrator provide Human Resources & Administrative support for the CI Office in Singapore. They have responsibility in two major buckets:
- Human Resources, spanning recruitment, staff onboarding/off-boarding, employee benefits/insurance, employee relations, training/development, as well as support for CI global HR processes. Recruitment includes Business World data entry, maintenance of HR folders, as well as work pass application/management for foreigners.
- Administration, including Asset Management, Procurement of office/kitchen supplies, and general administrative/logistic support.
This position will work closely as a member of the Singapore Operations team in Asia FMU and under the direct supervision of the Senior Operations Director, Asia, as well as in close collaboration with the Regional HRBP on HR topics, so as to provide seamless support for staff in the Singapore Country Program & Regional Office based in Singapore.
This position does not supervise staff, and the incumbent is expected to work independently on routine job duties.
Responsibilities
- Talent Acquisition, On/Off-Boarding – Responsible for the talent acquisition process, including working with hiring managers on job descriptions, job posting on relevant portals, direct sourcing via LinkedIn, candidate shortlisting and review with hiring manager, timely interview management, salary proposals/contract issuance, and supporting Director+ recruitments in Singapore.
- Manages administrative processes linked to recruitment, such as Business World data entry, maintenance of documents in HR folders, coordination with Operations on payroll, contract renewals, immigration/working pass applicants/renewals, and ensuring compliance with the Ministry of Manpower and other statutory requirements/guidelines.
- Works with the Regional HRBP and Operations Director to develop an onboarding process for CI Singapore, and conducts New Employee Orientation (NEO) for all new joiners.
- Employee off‑boarding / exit management.
- HR Support & Employee Benefits – Regular review of CI Singapore staff benefits, brief new joiners on their benefits, coordinate with insurance broker on annual renewal, ensure compliance with local labor laws, maintain and update HR policies and handbook, facilitate annual HR processes such as performance management, merit increase, promotion, and provide HR guidance to managers and staff.
- Support the Senior Operations Director and Regional HRBP on disciplinary and employee relations/grievance issues.
- Provide training and development programs in collaboration with the Global L&D team and Regional HRBP.
- Administration – Assist in procurement matters, asset management (tagging, register maintenance, disposal documentation, asset count), facilitate IT setup for new hires, assist mail‑in and mail‑out, manage relationships with external vendors for insurance, and coordinate guest services.
People and Resource Management Responsibilities
- Does not directly supervise staff but assists peers and helps direct the work of interns, temporary employees, contractors, or volunteers.
- Not accountable as budget holder.
WORKING CONDITIONS
- Typical office environment.
- Minimal travel expected.
- This role is a fixed‑term assignment.
- Ability to occasionally work in flexible hours for meetings/workshops and conference calls with offices in different time zones.
Qualifications
Required
- 2 to 4 years of Human Resources experience, including Talent Acquisition.
- Proficiency with MS Office, LinkedIn, Business World, and recruitment software such as Taleo.
- Self‑starter, organized, good time‑management abilities.
- Collaborative, team player comfortable working across teams and boundaries.
- Solid written and spoken communication skills (English) and interpersonal skills.
- Results‑driven, with problem‑solving and decision‑making ability.
Preferred
- Bachelor’s degree in any discipline.
- Local HR certification an advantage but not a must.
