Department / Role overview

We are looking for an astute, agile, dynamic, solutions focused team member in providing operational assistance across all aspects of the employment lifecycle. This is a great opportunity to work closely with a niche People & Culture team of 4 as well as the stakeholders in the Singapore office on a variety of matters across the business. Our ideal candidate is self‑driven, passionate about people, possesses a sense of curiosity and is able to function in a fast‑paced challenging ecosystem.

Key accountabilities

People & Culture Administration

  • Updating and supporting the development of People & Culture documentation, policies & procedures, and maintenance of resources and personnel files (i.e., Org charts, templates, forms etc.).
  • Work alongside the Ashurst Central Services Team and other departments to coordinate and manage the onboarding and offboarding for employees, ensuring all items on the checklists are complete.
  • Assist in managing new employees' probationary period through facilitating mid and end of probation meetings.
  • Manage expense, purchasing including raising purchase requisitions and receipting invoices.
  • Track validity, apply and renew Employment, Dependant passes.
  • Co‑ordinate and arrange new joiner inductions.
  • Set up new starters on portal and send welcome materials.
  • Ensure compliance with legislative requirements, policies and procedures.
  • Triage employee queries into the People & Culture team and coordinate appropriately.
  • Arranging of accommodation for overseas trainees in Singapore.

Benefits Administration

  • Oversee benefits enrolment exercise and staff movements.
  • Leave administration and reporting.
  • Timely submission of government related claims (e.g., Childcare, maternity leave, NS claims etc.)

Staff Engagement

  • Assist the team with the coordination of wellness programs, social events, and other initiatives that help build a positive, inclusive culture for the firm.

Reporting

  • Complete and submit periodic Ministry of Manpower surveys.
  • Produce ad‑hoc reports as required.

Risk and Control

  • Ensure that all activities and duties are carried out in full compliance with our regulatory requirements and internal policies.
  • The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the firm and the overall business objectives of the firm.

Essential skills and experience

  • Relevant experience of a minimum 1‑2 years in a similar capacity.
  • Experience working in the professional services sector is preferred but not essential.
  • An appetite and willingness to learn and grow.
  • Sound administrative skills with the ability to multitask in a dynamic environment.
  • High attention to detail and accuracy of data management.
  • Strong working knowledge of MS Office suite.
  • Excellent written and verbal communications skills.
  • Strong interpersonal skills with high levels of discretion and confidentiality.
