A. Responsibilities
1. Vessel Deployment & Scheduling
- Assist in arranging harbour craft deployment based on client orders and agent instructions.
- Coordinate sailing schedules, ensuring vessel readiness and timely reporting.
- Support Ops Manager in confirming assignments and resource allocation.
2. Cargo & Supplier Coordination
- Liaise with suppliers to confirm cargo details (e.g., number of pallets, loading times, locations).
- Ensure accurate loading arrangements, including documentation and supplier instructions.
- Monitor loading operations and verify cargo condition before departure.
3. Crew & Vessel Support
- Communicate deployment details to boatmen, including reporting times, loading locations, and delivery instructions.
- Provide operational support to crew during day-to-day assignments.
- Report any operational issues or incidents to the Operations Manager.
4. Client & Stakeholder Communication
- Relay operational updates between clients, suppliers, and internal teams.
- Assist Ops Manager in managing client expectations and job confirmations.
5. Documentation & Reporting
- Submitting documents to MPA via Digiport & ICA when necessary.
- Record vessel deployment details, cargo information, and job completion status.
- Maintain proper photo evidence and reports of cargo loaded/delivered. Ensure operational standards are closely adhered to, to MPA Regulations.
- Support compliance with company procedures and certification requirements.
6. General Operations Support
- Assist in daily operational tasks to ensure smooth execution of harbour craft services.
- Provide backup support for urgent or ad-hoc assignments as directed.
B. Qualifications & Experience
- Minimum GCE ‘O’ Level / Diploma in Maritime, Logistics, or related field (preferred but not mandatory).
- Prior experience in shipping, logistics, or vessel operations is an advantage but not required — training will be provided.
- Basic knowledge of shipping terms and port operations will be an added plus.
C. Skills & Attributes
- Strong coordination and organizational skills, with attention to detail.
- Good communication skills (spoken and written English; other local languages/dialects an advantage).
- Ability to converse in additional languages (e.g. Malay) will be an advantage when liaising with crew and suppliers.
- Ability to work in a fast-paced, time-sensitive environment.
- Responsible, meticulous about details, reliable, proactive in following up on tasks.
- Has a great attitude and does not take criticism too seriously.
- Basic computer literacy (MS Office, email, WhatsApp, WeChat for operations updates).
D. Working Conditions
- Shift-based role:
- Day shift: 9:00 AM – 6:00 PM (office-based).
- Night shift: 6:00 PM – 9:00 AM (WFH).
- Shifts rotate weekly among the team.
- Willingness to be on standby for urgent operational requirements (e.g., last-minute agent orders).
- Office-based with occasional visits to jetty/wharf when required.
E. Other Requirements
- Experienced in utilising Digiport & ICA website is a plus.
- Time management ability and great multi-tasking skills are a plus.
- Interest in developing a career in the maritime/logistics sector.
- Team player with a positive attitude and willingness to learn.
