Job Summary

Oversee and coordinate vessel operations and logistics to ensure timely, accurate, and compliant delivery of cargo. Drive operational excellence through process improvements, stakeholder collaboration, and adherence to safety and quality standards.

Responsibilities
  • Lead day-to-day operational activities including order processing, delivery planning, and resource allocation to ensure seamless execution of logistics workflows
  • Monitor and guide Order Schedulers to maintain readiness and timely delivery of shipments
  • Collaborate effectively with procurement, warehouse, logistics, and finance teams to verify order accuracy and readiness for dispatch
  • Track vessel ETA/ETD and coordinate delivery timelines with ship agents, port operators, and logistics partners to optimize scheduling
  • Communicate proactively with ship officers, agents, and customers to confirm schedules and delivery arrangements, ensuring alignment and transparency
  • Coordinate with logistics service providers and boat suppliers to arrange efficient delivery operations
  • Prepare and verify accurate cargo dispatch documentation to comply with regulatory and company standards
  • Monitor shipment status continuously and resolve operational issues promptly to minimize disruptions
  • Ensure collection and verification of Proof of Deliveries to maintain accountability and record accuracy
  • Maintain comprehensive and organized records of all vessel and logistics documentation for audit and reference purposes
  • Enforce compliance with company procedures, ISO quality standards, and regulatory requirements to uphold operational integrity
  • Track and analyze operational KPIs such as on-time delivery, order accuracy, response time, and incident frequency to identify improvement opportunities
  • Prepare detailed operational reports and updates for management review to support informed decision-making
  • Drive and participate in process improvement initiatives aimed at enhancing operational efficiency, reliability, and customer satisfaction
  • Execute SAP system processes including Purchase Requisition (PR) for services and consumables, Goods Receipt (GR), Post Goods Issue (PGI), and Proof of Delivery (POD) to maintain accurate transaction records
  • Support IT application deployment, HSSEQ (Health, Safety, Security, Environment, and Quality), and continuous improvement initiatives to foster a safe and productive workplace
  • Maintain workplace 5S standards and perform workplace safety and health (WSH) activities to ensure compliance and highlight process shortcomings
  • Conduct safety and health risk assessments and maintain operational quality standards to mitigate hazards
  • Report WSH incidents promptly to uphold safety accountability
  • Adopt and promote the use of technology, electronic tools, and devices to enhance operational effectiveness
  • Participate in key milestones of technology implementation projects to support organizational digital transformation
  • Assist in ongoing review of records and information to evaluate the effectiveness of work processes and procedures
  • Support human capital development by performing competency assessments to identify learning and development needs
  • Contribute to team succession planning to ensure continuity of operational expertise
  • Perform other related duties as assigned by supervisors or management to support business objectives
Required competencies and certifications
  • Diploma or above in Logistics, Supply Chain, or related field
  • Minimum 3 years of experience in vessel coordinating operations within a medium to large organization
  • Proficient in logistics systems with hands‑on experience in SAP Sales & Distribution (SD)
  • Strong operational judgment with proven problem‑solving and coordination capabilities
  • Effective communication and stakeholder management skills across internal teams and external service providers
  • Ability to perform reliably under time‑critical and high‑pressure operational environments
  • Familiarity with shipping documentation and Incoterms to support accurate cargo handling
  • Knowledge of TradeNet and shipping documentation processes to facilitate customs and regulatory compliance
  • Willing to provide 24/7 standby support, including nights, weekends, and public holidays, to ensure operational continuity
