Job description

We are looking for a reliable and detail-oriented Office Assistant to support daily administrative operations in our manufacturing office. The successful candidate will assist with general office duties, documentation, and coordination between departments to ensure smooth workflow across production, purchasing, and managing the team.

Job Description:
  1. Production Administrative Support:
    • Assist the Production Manager with daily operational tasks.
    • Prepare and issue production work orders.
    • Accurately track and compile employee attendance and overtime data.
    • Handle documentation for the production department.
  2. Document Control (DCC):
    • Manage and maintain controlled documents (e.g., procedures, work instructions) in accordance with the company's Document Control (DCC) system.
    • Ensure the proper distribution, retrieval, and archiving of both soft and hard copy documents.
    • Maintain document revision records and ensure only the latest versions are in use.
  3. Procurement and Inventory Management:
    • Raise purchase requests for office supplies, production consumables, and low-value expendables.
    • Coordinate with suppliers on deliveries and logistics.
    • Monitor inventory levels of administrative and common production items.
  4. General Administration:
    • Provide general clerical support, including handling incoming calls, emails, and correspondence.
    • Organize and maintain filing systems and records.
    • Assist in coordinating meeting schedules and receiving visitors.
    • Perform other ad-hoc administrative duties as assigned by the supervisor.
Requirements:
  • GCE O level / Nitec / Diploma in Business Administration or equivalent.
  • 1-2 years of experience in an administrative or office support role.
  • Prior experience in a manufacturing environment and basic understanding of document control (DCC) principles will be a distinct advantage.
  • Proficient in Microsoft Office applications (especially Word and Excel for data tracking).
  • Strong organizational skills with a keen eye for detail.
  • Good verbal and written communication skills.
  • Responsible, able to work independently with minimal supervision, and a good team player.
  • Good working attitude.
  • Ability to communicate effectively in Mandarin (spoken and written) to liaise with Mandarin-speaking clients/partners.
  • Requirement to work closely with colleagues from different countries.

  • Work in a team environment and interface with all levels within the organization.

  • Willing to work overtime if needed.
