Job summary

A recruitment agency in Singapore is seeking an Office Administrative Executive/Senior Executive to provide comprehensive administrative support, oversee travel bookings, and execute company events. The ideal candidate should have at least 3 to 4 years of experience in administration, a GCE O Levels qualification, and demonstrate strong interpersonal and multitasking skills. Office Administrative Executive/Senior Executive

Location: Tanjong Pagar

Working hours: 9am – 6pm / Fully on-site

Office Administration
  • Provide administrative support to the Service Team for document and shipment-related arrangements.
  • Oversee reception, calls, and visitor logs
  • Manage mail and courier services
  • Administer season parking, name card, corporate mobile handsets, building access, and face recognition systems
  • Manage stock inventory for office and pantry supplies
  • Maintain office cleanliness, meeting rooms, and pantry
  • Organize celebrations, weekly treats, and other small events
  • Manage office procurement
  • Liaise with contractors/vendors for general repair and maintenance
  • Maintain key logbook, security tokens, and master key box
  • Super user for meeting room bookings
  • Arrange gift hampers and condolence wreaths when needed
  • Evaluate service providers, review and renew service agreements, IT Equipment allocation/inventory management
Travel Desk
  • Coordinate travel bookings, travel insurance, and resolve travel issues
  • Advise travellers on information such as vaccinations, visas, travel alert issues etc.
  • Draft and maintain travel policy, SOPs etc.
Event Desk
  • Successful execution of events within approved budget, timeline and expectations
  • Proactively propose creative ideas/initiatives and get buy-in from the Management
  • Plan, organize and communicate employee engagement events/activities
  • Source venue, catering and coordinate development of materials to execute a quality event
  • Maintain and update supplier, customer list/name card in the database
