Responsibilities
- Oversee the daily operations to ensure a professional, organized and efficient workplace.
- Implement office policies, procedures, and standards to ensure compliance and efficiency.
- Manage external grant budget such as budget planning and reporting, processing of claims and expenses, and procurement matters.
- Monitor day‑to‑day expenditures of the external budgets; seek budget variations as necessary; review accuracy of financial transactions to ensure allowability and compliancy.
- Develop and maintain records, databases, etc.
- Oversee the management of Centre’s website to feature the Centre’s highlights; maintain updates, etc.
- Perform HR functions such as recruitment, onboarding and employee records management.
- Event management and accompanying logistics to include organization of meetings, workshops, conferences, etc.
- Coordinate the follow‑up, scribe notes and assist with preliminary draft of the various reports and publications to funding agency.
- Interface with Office of Research Governance & Administration (ORGA) and Office of Finance (OFIN) Grants Compliancy and Management to troubleshoot external queries and requested ongoing reporting.
- Purchasing duties.
- Office of Campus Infrastructure and Services (OCIS), Facilities Booking Systems (FBS) meeting room/venue bookings.
- Liaise with SOE admin staff to redirect any non‑claimable MOE expenses, etc.
- Other duties as assigned.
Qualifications
- An undergraduate degree with 5 years of relevant working experience preferred in educational and/or public service setting.
- Effectively bilingual with excellent communication (written and verbal) skills in English.
- Exceptional interpersonal skills to engage with diverse stakeholders and foster collaborative working relationships.
- Meticulous, hardworking, and strong organizational skills.
- Ability to work independently and work under stress to meet tight deadlines.
- Flexibility to perform ad‑hoc duties as needed.
