Job Summary

We are seeking an experienced and resourceful Management Executive (Admin) who plays a strategic role beyond basic clerical duties. This role brings together executive-level support, office management, and operational coordination which includes travel arrangements, claims handling, and ERP support. Acting as a partner to the Managing Director and the team, this person will ensure seamless daily operations, facilitate external communications, and elevate Modifine’s administrative efficiency.

Key Responsibilities
Primary Responsibilities
  • Manage general and executive office administration (e.g., filing, vendor coordination for air‑conditioning, office maintenance).
  • Handle executive scheduling, travel bookings (flights, accommodation), and related coordination with accuracy.
  • Process staff claims, consolidate receipts, and assist with bookkeeping tasks such as invoice tracking and claim tabulation.
  • Administer ERP entries for quotations, orders, and invoices, ensuring smooth flow in collaboration with finance.
  • Monitor statutory deadlines (IRAS, ACRA) and coordinate with the external accountant to ensure timely submission.
  • Maintain pantry and supplies inventory, and ensure workplace is efficiently stocked and presentable.
  • Liaise with our China-based factory, ensuring reliable communication and coordination for projects.
  • Assist with GST documentation, submissions, and claim management.
Secondary Responsibilities
  • Support certification projects like BizSAFE or ISO compliance initiatives.
  • Assist in light marketing outreach (email campaigns) and internal events planning.
  • Serve as point-of-contact for ERP vendor coordination and future implementations.
  • Recommend and help implement improvements to administrative processes.
Requirements
  • 1–3 years of relevant experience in admin, secretarial, or operations coordination preferred. (Open to fast learners with a strong sense of responsibility)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with ERP or accounting tools is a bonus
  • Comfortable communicating in English (Mandarin-speaking is a plus for liaising with China-based teams)
  • Highly organised, independent, and able to handle multiple responsibilities in a small team setting

As Modifine continues to grow, there will be opportunities to evolve this role into a broader Executive Assistant or Office Manager position. Candidates who demonstrate maturity, trustworthiness, and competence may take on additional responsibilities involving projects, compliance, and operations management.
