1. Position Summary
We are seeking a detail-oriented and operationally-focused Management Executive to manage critical academic support processes. This individual will be responsible for the end-to-end administration of student examinations, the efficient production management of academic materials, and leveraging digital tools to support teaching and learning operations. This role ensures the smooth operational delivery of academic services, supporting both faculty and students.
2. Key Responsibilities
Examination Operations & Coordination
- Manage Student Registration: Administer the entire examination registration process for all students, ensuring complete and accurate data entry within the school database.
- Coordinate Exam Logistics: Oversee all operational and logistical aspects of examination periods. This includes scheduling, venue setup, and ensuring all required assessment materials are securely prepared.
- Examination Supervision: Actively conduct and invigilate examinations, ensuring strict adherence to school policies, maintaining academic integrity, and managing student conduct during assessments.
- Post-Exam Processing: Manage the secure collection, processing, and distribution of assessment scripts and results.
Academic Resource Management
- Material Production: Coordinate and execute the production lifecycle of teaching materials, course packs, and examination papers, including high-volume printing, scanning, and binding.
- Inventory Control: Manage and maintain inventory for all academic operations, including paper stocks, printing supplies, and binding resources.
- Equipment Maintenance: Ensure all production equipment (e.g., computers, printers, scanners, binders) is well-maintained and serviceable, serving as the point of contact for external repair vendors.
Digital Content & Administrative Support
- AI-Assisted Content Generation: Utilize AI tools and designated software to assist faculty in generating supplementary teaching and learning materials, such as worksheets, presentation visuals, and quiz banks.
- Digital Archiving: Systematically scan and digitize academic records, student work, and curriculum resources for secure and accessible record-keeping.
- General Administration: Provide comprehensive administrative support to the Academic Department to ensure operational efficiency.
3. Qualifications and Skills
Required Skills & Competencies:
- Education: Diploma or Bachelor’s Degree in Business Administration, Operations Management, or a related field.
- Experience: Proven experience in a high-volume administrative or operational role.
- Skills:
✔️ Exceptional organizational skills with a meticulous eye for detail.
✔️ Ability to manage strict deadlines and work calmly under pressure, especially during peak examination periods.
✔️ High level of digital literacy, with a strong willingness and ability to learn and use new software, specifically AI productivity tools.
✔️ Proficiency in Microsoft Office Suite (Word, Excel).
✔️ Reliable and trustworthy, with the ability to handle confidential information (such as examination questions and student data) with utmost discretion.
Preferred Skills & Competencies:
- Approachable and able to work collaboratively in a team environment.
- Prior experience in an educational institution or examination-related role.
- Hands-on experience with office production equipment (printing, scanning, and binding machinery).
