Position Overview
We are seeking a highly organised and motivated Junior Secretary to support the Chief Financial Director in day‑to‑day administrative, scheduling, and coordination duties. This entry‑level position is ideal for a fresh school leaver who is eager to learn and develop strong professional office skills. You will serve as a key support to the CFD, ensuring that her schedule, documents, and follow‑ups are managed smoothly and professionally.
Key Responsibilities
1. Diary & Appointment Management
- Maintain and update the CFD’s daily calendar.
- Schedule meetings, appointments, and conference calls proactively.
- Send timely reminders and ensure she is prepared for each engagement.
- Coordinate meeting logistics (venue, equipment, refreshments, and required documents).
2. Administrative & Document Support
- Draft, format, and edit correspondence, reports, and presentations using MS Word, PowerPoint, and Excel.
- Manage confidential documents with strict discretion and professionalism.
- Organise and maintain filing systems—both digital and physical.
3. Task Tracking & Follow‑Up Coordination
- Work closely with the CFD to understand priorities and deadlines.
- Monitor progress of tasks delegated to internal departments and ensure timely completion.
- Prepare meeting materials and follow up on post‑meeting action items.
4. Communication & Liaison Duties
- Serve as the first point of contact for the CFD’s office.
- Handle calls, emails, and messages professionally and accurately.
- Convey information clearly and ensure timely communication within the organisation.
Qualifications & Minimum Requirements
- GCE ‘O’ Level or equivalent.
- Fresh school leavers are welcome; no prior work experience required.
- Basic proficiency in Microsoft Word, Excel, and PowerPoint (e.g., formatting, creating simple spreadsheets, basic formulas).
- Willingness to learn, adapt, and grow in a fast‑paced environment.
