Job Summary

We are looking for a highly organised, meticulous and proactive Executive Assistant / Personal Assistant to the CEO who will provide comprehensive administrative, operational, and coordination support. The ideal candidate will be confident in managing complex schedules, handling sensitive information, and coordinating across internal teams and external stakeholders in a dynamic, global healthcare environment.

Key Responsibilities
  • Handle day-to-day corporate, administrative and operational duties supporting the CEO, ensuring smooth management of priorities and workflows.
  • Organise and coordinate the CEO’s calendar, meetings, appointments, travel arrangements, and associated logistics across multiple geographies and time zones.
  • Act as the primary point of contact between the CEO and external/internal teams, key office holders and other stakeholders.
  • Prepare and track meeting agendas, presentation decks, meeting minutes (MoM), reports, and follow‑up actions to closure.
  • Handle sensitive and confidential information with highest level of discretion.
  • Support with coordinating projects, monitoring deliverables, and supporting key business initiatives.
  • Manage incoming and outgoing communications (emails, calls, correspondence), ensuring timely responses and prioritisation.
  • Arrange leadership meetings, board interactions, conferences, events, and client/partner visits.
  • Conduct research, collate data, and provide concise executive summaries to support informed decision‑making.
Job Requirements
  • Relevant experience in Business Administration, Life Sciences, or a related field is preferred.
  • 1‑3 years of experience as an Executive Assistant / Personal Assistant supporting C‑Suite or senior level leadership.
  • Prior experience in the pharmaceutical, healthcare, or life sciences sector is highly desirable.
  • Strong proficiency in MS Office Suite, scheduling and digital collaboration tools.
  • Excellent organisational and communication skills (written and verbal) with strong professional etiquette.
  • Ability to multi‑task and work under pressure, manage ambiguity, and adapt to changing needs.
  • High degree of accountability, ownership and confidentiality.
