Key Responsibilities

Payroll, HRIS, and Compliance Administration
- Ensure payroll inputs (OT, leave, meal allowance and medical claim reports) are processed accurately and in a timely manner to support financial and operational consistency.
- Manage and maintain HRIS systems for real-time visibility of workforce data—enabling data-driven decision-making and productivity analysis.
- Coordinate statutory compliance submissions (MOM, IRAS, CPF) with zero delays to avoid financial penalties and reputational risk.
- Assist Senior Admin Manager for tax filing (IRAS) and insurance renewal to ensure fiscal compliance and workforce protection.
- Enforce PDPA compliance in employee records management to protect organizational data integrity and trust.
- Prepare internal documentation and HR evidence for external audits, certifications (e.g., SEDEX), and labor inspections—enhancing audit pass rates and legal compliance.
- Supports financial audit-readiness, strengthens workforce data integrity, and mitigates compliance and reputational risks.
Employee Lifecycle Administration
- Administer seamless onboarding and oboarding workflows, including equipment, IT access, clearance, and compliance documents.
- Manage contract issuance, renewals, and probation milestones, ensuring policy adherence and timely conversions.
- Maintain accurate employee records and ensure smooth coordination of uniform distribution and personal data updates.
- Track work pass expiries and renewals to ensure uninterrupted employment and legal workforce presence.
- Reduces employee lifecycle friction, improves new hire readiness, and supports long‑term talent retention through process consistency.
Time & Attendance Management
- Monitor and validate TMS data for payroll, absenteeism, and labor law compliance across business units.
- Deliver attendance and overtime reports for department heads and management for operational decision‑making.
- Manage special leave schemes (e.g., O-in-Lieu, Sales incentives) in line with internal policies and compensation alignment.
- Provides accurate labor utilization insights, reduces payroll anomalies, and supports workforce planning.
HR Policy, Reporting & Vendor Management
- Assist in maintaining and updating HR handbooks, SOPs, and policies to align with labor legislation and organizational governance.
- Serve as the liaison for external HR/payroll vendors to ensure system functionality, support issue resolution, and cost‑effective service delivery.
- Support disciplinary and grievance processes with proper documentation to uphold workplace fairness and mitigate legal exposure.
- Assist in developing and analysing HR dashboards (headcount, attrition, absenteeism) to inform strategic workforce decisions.
- Strengthens governance structure, supports risk management, and enhances employee relations and engagement.
Operational Support & Process Excellence
- Review and improve HR processes to enhance operational accuracy, compliance tracking, and service efficiency.
- Administer employee benefits (medical, dental, insurance) with timely updates and effective communication.
- Coordinate employee welfare programs (e.g., birthday gifts, condolences) with Admin to promote culture and morale.
- Support training administration and data tracking for performance management and skills development programs.
- Drives HR process efficiency, promotes employee well‑being, and reinforces a high-performance organizational culture.
