Job summary

A human resources consultancy in Singapore is seeking an experienced HR Coordinator to manage job postings and applicant submissions, coordinate employee onboarding and offboarding, and ensure compliance with Singapore employment laws. The ideal candidate will have a Diploma or Degree in HRM or a related field and at least 2 years of relevant HR experience, demonstrating high attention to detail and a proactive approach in a fast-paced environment.

Qualifications

  • Minimum 2 years of relevant HR experience, preferably in a generalist or operations role.
  • Familiarity with Singapore employment laws and statutory requirements.

Responsibilities

  • Coordinate job postings and manage applicant submissions.
  • Handle work pass process and prepare employment contracts.
  • Manage staff movement and support in payroll process.
  • Verify required certifications and coordinate training courses.
  • Collect resignation reasons and manage offboarding processes.

Job description
Recruitment
  • Coordinate job postings and manage applicant submissions
  • Prepare pre-employment documents & ensure completeness of application submissions
  • Liaise with clients for candidate approvals including submission and follow-ups
Onboarding
  • Handle work pass process
  • Prepare and explain employment contracts and follow up on signed LOAs & Addendums
  • Create and maintain employee P-files
  • Arrange agreements for onboarding ( PPE & Company assets )
  • Set up new joiner accounts under HRIS and conduct pre-commencement briefings
  • Notification to site admin/client on commencement dates
  • Conduct orientation & track/ follow up on signed onboarding documents and orientation forms
Operations
  • Manage staff movement ( New join/resigned staff/transfer staff etc) & update monthly manpower report
  • Support in payroll process ( i.e HR/finance report, masterlist, payslip etc)
  • Manage leave records, approvals, notifications and acknowledgements
  • Source & arrange stand-in, inform client/site/finance department
  • Dissemination, aknowledgement and keeping record of signed policies
  • Handle staff enquiries/grievances/ disciplinary cases
  • Managing appraisal (if required)
Training
  • Verify that employees possess required certifications and coordinate relevant training courses to ensure compliance with requirements
  • seek management approval for training arrangement and handle course registration to ensure compliance and workforce readiness.
Offboarding
  • Collect resignation reason and formal acknowledgement
  • Notify internal and client/site teams of departure
  • Check through final timesheet submission
  • Manage offboarding checklist and handover process
Requirements
  • Diploma or Degree in HRM, Business Administration or related field
  • Minimum 2 years of relevant HR Experience, preferably in a generalist or operations role
  • Experience handling multi-site or client- facing HR coordination
  • Familiarity with Singapore employment laws and statutory requirements
  • Proactive and able to work in a fast paced environment
  • High Attention to detail and accuracy
