Financial Management
- Accounting Firm Liaison: Oversee all accounting and financial operations in collaboration with the accounting firm, including invoice issuance and sales report generation.
- Headquarters Accounting Liaison: Act as the primary point of contact for all accounting-related matters with headquarters.
Human Resources (HR) Management
- Attendance & Timekeeping: Supervise and maintain accurate attendance records for all employees.
- Payroll Administration: Prepare payroll documentation and finalise drafts produced by the accounting firm.
- Staff Database Management: Create and manage monthly staff lists, ensuring accuracy and compliance.
- Recruitment Coordination: Liaise with outsourced recruitment agencies to manage staffing needs and talent acquisition.
- Onboarding & Orientation: Oversee the onboarding process for new hires, ensuring a smooth integration into the company.
- Offboarding & Exit Interviews: Conduct exit interviews and manage offboarding processes to ensure a seamless transition.
- Contract Management: Draft and manage employment contracts, ensuring compliance with company policies and legal requirements.
- Personal Information Protection: Ensure the secure management and confidentiality of employee personal data.
- Performance Evaluations: Conduct monthly performance evaluation meetings during probation periods to assess employee progress and provide feedback.
- HR Documentation: Prepare and manage HR-related documents, including warning letters, internal memos, and other administrative notices.
- Work Pass Administration: Apply for and renew foreign worker passes (S Pass, WP, LOC) and ensure compliance with regulations.
- MOM Portal Management: Update and maintain government grant-related data on the MOM portal.
- MOM Survey Participation: Respond to Ministry of Manpower (MOM) surveys, providing required data on salaries, employee turnover, and other HR metrics.
- Accident Reporting: Manage and update accident data on the MOM portal in compliance with regulations.
- Levy Bill Reporting: Download and review Levy Bill reports from the MOM portal for accurate payroll processing.
- Expatriate Payroll Coordination: Submit monthly reports on expatriate salaries and housing allowances to headquarters HR.
Administrative Support
- License & Permit Management: Manage the application, renewal, and modification processes for various business licenses and permits.
- Oversee the visa application process, housing arrangements, and general living support for employees.
- Insurance Administration: Renew and manage various insurance policies, including store and expatriate condominium coverage.
- Contract Management: Ensure timely renewal and management of various company contracts.
- Import Customs Coordination: Coordinate with relevant authorities to arrange SFA inspections for import customs clearance.
Job Requirements
- Japanese speaking language is required to effectively communicate and build relationships with Japan HQ and client.
- Approximately 3 years of relevant work experience: Prior experience in a similar role is preferred.
- Positive and proactive attitude: Must possess a bright, positive, and honest personality, with a strong desire to contribute to the team.
- Strong numerical aptitude: Accuracy and attention to detail are essential, as the role involves handling attendance management and payroll checks.
- Organized and efficient: Must be highly organised and capable of managing multiple tasks with precision.
- Excellent communication skills: Strong verbal and written communication skills are essential for interacting with colleagues, clients, and stakeholders.
- Comfortable with numbers: Must be comfortable and confident in working with numbers regularly and ensuring their accuracy.
