Position Overview
The Fund Management Operations role supports the day-to-day operational, administrative, and regulatory processes of the fund management business. The role ensures timely, accurate, and compliant execution of fund operations in accordance with internal policies, service provider agreements, and applicable regulatory requirements.
Key Responsibilities
1. Fund Operations & Administration
- Support daily and periodic fund operations, including subscriptions, redemptions, capital calls, and distributions.
- Coordinate with fund administrators, custodians, and banks on NAV calculations, cash movements, and reconciliation matters.
- Maintain accurate fund records, including investor registers, transaction logs, and operational files.
- Monitor fund cash balances and assist with payment processing and settlement instructions.
2. Service Provider Coordination
- Act as a primary liaison with external service providers, including fund administrators, custodians, auditors, legal counsel, and banks.
- Follow up on operational queries, documentation requests, and reporting timelines.
- Assist in onboarding and periodic review of service providers.
3. Regulatory & Compliance Support
- Support regulatory filings, notifications, and reporting to regulators and authorities, including MAS where applicable.
- Assist in the maintenance of compliance manuals, internal procedures, and operational checklists.
- Support AML/CFT processes, including investor onboarding documentation and periodic reviews, under guidance from compliance personnel.
4. Investor & Internal Reporting
- Assist in preparing investor communications, including capital account statements, notices, and periodic fund updates.
- Support internal management reporting relating to fund performance, operational status, and risk indicators.
5. Documentation & Record-Keeping
- Maintain orderly and auditable records of fund documentation, including agreements, resolutions, offering documents, and operational approvals.
- Ensure documentation is properly version-controlled, secured, and accessible for audit or regulatory review.
6. Operational Controls & Risk Management
- Support implementation of operational controls, segregation of duties, and approval workflows.
- Escalate operational issues, exceptions, or incidents to management in a timely manner.
- Assist in business continuity planning and operational risk assessments.
7. General Support
- Support internal teams on operational matters related to fund launches, changes, or wind-down activities.
- Perform other operational and administrative duties as assigned, consistent with the role.
8. Reporting Line
Reports to the Chief Operating Officer and Fund Management Team, as applicable.
9. Skills & Competencies (Optional Section)
- Understanding of fund structures and fund operations
- Familiarity with fund administration and banking processes
- Strong attention to detail and documentation discipline
- Ability to coordinate with multiple internal and external stakeholders
- Basic knowledge of regulatory and compliance requirements in fund management
Requirements
- Diploma or Bachelor’s degree in Business, Finance, Accounting, Economics, or a related discipline.
- Relevant professional or industry certifications (e.g. fund administration, compliance, operations) are an advantage but not mandatory.
- 1-5 years of relevant experience in fund operations, fund administration, asset management operations, banking operations, or financial services support role.
- Fresh graduates with relevant internships or administrative experience are welcome to apply.
- Bilingual proficiency in English and Mandarin (both written and spoken) to liaise effectively with Mandarin-speaking clients and partners.
- Proficiency in Microsoft Office.
- Highly organized, meticulous, and able to manage multiple tasks independently.
- High degree of integrity, confidentiality, and professionalism.
- Positive attitude with a collaborative and team-oriented mindset.
