What you'll be doing
  • Prepare detailed and accurate quotations based on customer requests, technical specifications, and project requirements.
  • Ensure all pricing components (materials, labour, transport, subcontractors, etc.) are correctly costed.
  • Liaise with Sales, Operations and Finance to gather necessary inputs for quotation preparation.
  • Clarify customer requirements with the operation team or directly with clients when needed.
  • Follow up with operation for information required to complete quotations on time.
  • Maintain an organized database of all quotations submitted, including revisions and approvals.
  • Track quotation status – pending, approved, rejected, or requiring revision.
  • Ensure all documentation is complete for audit and reference purposes.
  • Verify that all pricing is accurate and aligned with cost structures.
  • Check validity periods, terms & conditions, warranty, and scope of work.
  • Provide timely support to the operation team for customer inquiries and pricing matters.
  • Process Service Reports & Progress Claim – Payment Certificate.
  • Provide Finance with contract information for invoicing.
  • Issue tax invoices, Statements of Account (SOA), and update payment status accordingly.
  • Monitor and report on quotation and contract status, including durations and renewal dates.
  • Coordinate with Operations to confirm contract details and updates.
  • Track key contract elements such as milestones, deliverables, payments, claims, and variations.
  • Prepare regular reports on contract progress, outstanding items, and upcoming renewals.
