What you'll be doing
- Prepare detailed and accurate quotations based on customer requests, technical specifications, and project requirements.
- Ensure all pricing components (materials, labour, transport, subcontractors, etc.) are correctly costed.
- Liaise with Sales, Operations and Finance to gather necessary inputs for quotation preparation.
- Clarify customer requirements with the operation team or directly with clients when needed.
- Follow up with operation for information required to complete quotations on time.
- Maintain an organized database of all quotations submitted, including revisions and approvals.
- Track quotation status – pending, approved, rejected, or requiring revision.
- Ensure all documentation is complete for audit and reference purposes.
- Verify that all pricing is accurate and aligned with cost structures.
- Check validity periods, terms & conditions, warranty, and scope of work.
- Provide timely support to the operation team for customer inquiries and pricing matters.
- Process Service Reports & Progress Claim – Payment Certificate.
- Provide Finance with contract information for invoicing.
- Issue tax invoices, Statements of Account (SOA), and update payment status accordingly.
- Monitor and report on quotation and contract status, including durations and renewal dates.
- Coordinate with Operations to confirm contract details and updates.
- Track key contract elements such as milestones, deliverables, payments, claims, and variations.
- Prepare regular reports on contract progress, outstanding items, and upcoming renewals.

- High attention to detail, accuracy, and proper documentation
- Able to commit to a 5.5-day work week
- Excellent communication and coordination abilities
- Proficiency in MS Excel
- Ability to work under tight deadlines and manage multiple contracts simultaneously
