Job description

Role Purpose

The Executive Assistant (EA) provides high-level, confidential and proactive support to the General Manager of the Bombardier Aerospace Service Centre in Singapore. The role is critical in ensuring smooth executive operations, effective stakeholder coordination, and professional execution of leadership, communication and engagement activities in a regulated aerospace MRO environment.

The EA acts as a trusted gatekeeper, coordinator and liaison, supporting the GM in managing priorities, communications and site-level initiatives while maintaining discretion, accuracy and operational awareness.

Key Responsibilities

  • Manage the GM’s complex calendar, appointments and reminders across local and international time zones
  • Proactively plan and coordinate domestic and international travel itineraries, including flights, accommodation, transport and meeting schedules
  • Anticipate scheduling conflicts and resolve priorities independently where appropriate
  • Manage the GM’s email and correspondence, drafting professional communications on behalf of the GM when required
  • Act as the first point of contact for internal stakeholders and international Bombardier offices
  • Liaise confidently with senior leaders, visitors and external partners while maintaining discretion
  • Organise executive and leadership meetings including:
  • Agenda preparation
  • Presentation slide support
  • Minutes taking and action tracking (where required)
  • Ensure meeting rooms are booked and set up professionally including:
  • Audio-visual readiness
  • Catering arrangements (coffee/tea, refreshments, cutlery, etc.)
  • Plan and facilitate internal and external engagement events including:
  • Employee All Hands
  • Leadership briefings
  • Women-in-Aviation events
  • Customer, OEM and CJI visits
  • Coordinate closely with relevant teams to ensure:
  • Security clearances
  • Declaration and compliance forms
  • Visitor access requirements are completed in advance
  • Act as liaison for:
  • RMP / CREDO recognition programmes
  • Long Service Awards
  • Coordinate annual photo sessions for award recipients
  • Manage the ordering of pins, certificates, and recognition materials
  • Support the presentation of awards during Quarterly All Hands or leadership events
  • Support the Marketing team with administrative tasks such as:
  • Receiving brochures or materials
  • Coordinating merchandise orders
  • Act as a reliable administrative interface between leadership and support functions
  • Maintain and update the monthly organisational chart in the Management folder
  • Ensure documents are version-controlled and stored appropriately
  • Raise Purchase Requisitions (PRs) for approvals in accordance with company procedures
  • Support the creation of new vendor/supplier codes when required
  • Follow up on approvals and documentation to ensure timely processing
  • Arrange business cards upon request
  • Provide ad-hoc administrative support as assigned by management
  • Serve as backup for Reception duties when required, ensuring continuity of front-office operations

Experience & Qualifications

  • Minimum 6–8 years of experience as an Executive Assistant or Senior Administrative Assistant, preferably supporting senior leadership
  • Experience in aviation, engineering, manufacturing or regulated industries is an advantage
  • Prior exposure to multinational or matrix organisations preferred
