About CPH

The Community Psychology Hub (CPH), a unit sited within SG Enable Ltd, is dedicated to improving people’s lives through innovative and quality psychological services. We work in active collaboration with partners in the social service and public sector to provide care for people with disabilities and their families in the community. Overview

You will support CPH’s Psychological Services department to ensure smooth operations. This may include support in areas of budget tracking and invoice processing, procurement, KPI tracking, data management, logistics support, secretarial support and facilities management.

Responsibilities

1. Administrative and Operations Support

  • Provide technical and administrative support for day-to-day operation, e.g., preparing meeting minutes and Standard Operating Procedures, maintaining filing system, feedback collection and analysis, organising department events, and coordinating group meetings/training calendars
  • Assist in monitoring and coordinating department activities to ensure deadlines and priorities are met, including liaising with internal and external partners, assignment allocation, scheduling, etc.
  • Manage and upkeep department resources, including budget, documentation, inventory, facility arrangements, etc.
  • Support procurement-related matters, including calling for quotations/tenders and liaising with vendors and stakeholders, processing invoices and payment, and tracking funding usage
  • Support process improvement projects to streamline workflows and improve efficiency
  • Undertake other ad hoc assignments as required

2. Data Management

  • Perform data entry and upkeep of data/statistics required by the department, including KPI reporting/submission and use of Alchemer (data collection platform)
  • Update, maintain and support the team’s data management system
  • Perform basic data analysis and prepare report and presentation materials
  • Uphold data security practices as PDPA representative

3. Culture and Team Communications

  • Champion and support planning of department events and operational activities as needed

4. Self-development

  • Attend training/workshops to develop relevant knowledge and skills
Requirements

1. Educational qualifications and work experience

  • Degree holder from a recognised institution
  • Strong organisational skills with the ability to multitask and prioritise effectively
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and general office software

2. Experience

  • [Preferred] Experience in the social service sector

3. Other qualities
