Event Executive
Role Overview
We are seeking a proactive and detail‑oriented Event Executive to support the planning, coordination, and execution of international events with a strong exhibition‑based component. This role is responsible for assisting in end‑to‑end event operations, liaising with exhibitors and contractors, managing logistics, and ensuring all event activities are delivered smoothly, safely, and within budget. The ideal candidate is highly organised, resourceful, and able to thrive in a fast‑paced environment while working closely with internal teams, external vendors, and event stakeholders.
JobResponsibilities
- Creating detailed event plans, including timelines, budgets, and logistics.
- Managing event budgets and ensuring expenses stay within allocated limits.
- Preparing materials and arranging meetings for updates to the organising committee and senior management.
- Assisting in content curation and vetting of exhibits information submissions.
- Coordinating and liaising with the contracted event management services company to oversee event conceptualisation, setup, execution (including troubleshooting issues), and tear‑down.
- Managing event logistics, such as transportation, catering, and other operational requirements.
- Ensuring event compliance with applicable safety regulations and policies.
- Consulting with exhibitors to understand their needs and expectations.
- Managing and coordinating with contractor(s) (e.g., event management services company and their subcontractors, if any) for all event needs, including collation, relay, and exchange of information between stakeholders.
- Providing regular updates and communication to exhibitors, and addressing concerns.
- Analyzing event success and gathering feedback to identify areas for improvement.
- Preparing post‑event reports and evaluations.
JobRequirements
- 2–3 years of experience in international events planning and management with a strong exhibition‑based component.
- Candidates are requested to share their portfolio of events they have worked on, and a detailed description of their role/capacity of involvement in each event.
- Strong organisational skills with ability to multitask and manage time to meet deadlines.
- Effective and resourceful team player with strong interpersonal and communication skills.
- Strong problem‑solving skills to identify and resolve issues during event lifecycle.
