As a critical member of the project team, you will oversee document management throughout the project’s engineering, procurement, construction, commissioning, and handover phases.
Job Responsibilities
- 1. Manage the full lifecycle of project documents (engineering drawings, specifications, vendor documents, contracts, test reports, as-built records, etc.) using enterprise document management software .
- 2. Ensure timely receipt, registration, review, distribution, and archiving of all project documents, maintaining strict version control and traceability in line with the document management requirements.
- 3. Collaborate with internal teams (engineering, procurement, construction, commissioning), subcontractors, vendors, and client to facilitate document flow, resolve document-related queries, and ensure compliance with submission deadlines.
- 4. Verify document completeness, accuracy, and adherence to project standards (e.g., ISO 27001 for information security, project-specific numbering systems) and statutory requirements.
- 5. Prepare and distribute document status reports (e.g., submission tracking, review progress, pending items) to stakeholders on a regular basis.
- 6. Support document handover activities, including the compilation of final as-built documentation and compliance with the project’s handover matrix.
- 7. Maintain document control procedures and provide guidance to project teams on document management protocols.
Requirements & Qualifications
- 1. Bachelor’s degree in Engineering, Construction Management, Document Management, or a related field.
- 2. Minimum 3 years of document control experience ininternational EPC projects, preferably in the energy, sector.
- 3. Proficiency in enterprise document management software (e.g., SmartPlant, EDMS, SharePoint, or similar tools); experience with SmartPlant Foundation/SP3D is highly advantageous.
- 4. Fluent inwritten and spoken English—able to effectively communicate with international stakeholders, review English technical documents, and draft formal document-related correspondence.
- 5. Familiar with EPC project document requirements, including engineering deliverables, vendor documentation (SDRL), contract compliance, and as-built documentation standards.
- 6. Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced international project environment.
- 7. Knowledge of Singaporean regulatory requirements for engineering/construction documents or LNG industry standards (e.g., ASME, ISO, SS codes) is a plus.
- 8. Ability to work independently and collaboratively with cross-functional, multicultural teams.
