Job Description & Requirements

We are looking for a highly organized and experienced Document Controller to support the Document Control lead in managing and maintaining the existing comprehensive document management system for a major infrastructure project.

This role is integral to ensuring smooth information flow, robust document control practices, and adherence to both internal and regulatory standards. The successful candidate will work closely with internal project teams, external stakeholders, and vendors to manage the lifecycle of all project‑related documentation.

Key Responsibilities:
  • Work within the document control team to ensure effective project‑wide document management.
  • Manage the flow of documents across internal teams, clients, and consultants, ensuring accuracy and timeliness.
  • Ensure existing document and archival systems continue to follow best practices.
  • Train and support project staff on document control systems, tools, and procedures.
  • Maintain document archives in SharePoint in compliance with governance, audit, and regulatory standards.
  • Support regular audits and respond to document retrieval requests while ensuring secure access.
  • Generate and present document control performance reports using agreed KPIs.
  • Collaborate with management to enhance workflows and ensure alignment with Project Information Management protocols.
Requirements:
  • Diploma in Engineering, Information Management, or a related field preferred
  • Minimum of 5 years’ experience in document control, preferably within large‑scale infrastructure or construction projects. Candidates with less experience who demonstrate strong potential and relevant skills are also encouraged to apply.
  • Strong IT proficiency with advanced skills in Microsoft Office applications, including Excel, Word, PowerPoint, and SharePoint.
  • Familiarity with Electronic Document Management Systems (EDMS) is preferred.
  • Meticulous, well‑organized, and detail‑oriented with a methodical approach to work.
  • Excellent written and verbal communication skills.
