Job Summary:

The Corporate Services and Administration Executive provides comprehensive executive, operational, and administrative support to ensure the efficient functioning of company operations. The role spans executive assistance, office coordination, documentation, CRM, compliance tracking, HR, finance, marketing, and sales support functions.

Key Responsibilities:
1. Executive & Administrative Support
  • Provide secretarial and administrative support to the Chief Administrator.
  • Prepare and submit timely reports, updates, and briefings to the Chief Administrator.
  • Ensure efficient coordination of schedules, meetings, and correspondence on behalf of the Chief Administrator.
2. Office Operations & Coordination
  • Oversee day-to-day office administration to ensure smooth and efficient operations.
  • Handle incoming calls and direct enquiries appropriately.
  • Manage procurement, inventory, and cost-effective use of office supplies and equipment.
3. Documentation & Records Management
  • Handle and maintain confidential information, correspondence, and documentation with discretion.
  • Oversee accurate data entry, document scanning, filing, archiving, and secure storage of records.
  • Maintain a systematic and accessible documentation and records system (for all documents in and out of the office)
4. CRM & Accounts Administration
  • Regularly update the Customer Relationship Management (CRM) system.
  • Support account-related data entry and administrative tracking.
5. Financial & Expense Account Management

Support maintenance, compiling and management in office expense accounts:

  • a) utilities compilation
  • b) transport claims,petty cash claims
  • c) subscriptions payment
  • d) vendor invoices
  • e) purchase of necessary items in office.
6. Meetings & Action Follow-Up
  • Attend meetings and prepare clear, structured minutes.
  • Monitor action items and ensure completion with the team.
7. General Administrative & Clerical Support
  • Perform general paperwork processing and support cross-departmental administrative functions.
  • Undertake additional duties as directed by management to support ongoing operations.
8. Human Resource Administration
  • Support HR functions including recruitment coordination, onboarding, leave and attendance tracking, and staff record maintenance.
  • Assist in implementing employee engagement initiatives and internal HR communications.
  • Supports in maintaining compliance with employment regulations and ensure up-to-date HR documentation.
9. Marketing & Social Media Management
  • Support marketing-related administrative work including the preparation and coordination of campaigns.
  • Manage the company’s social media platforms (e.g., LinkedIn, Facebook, Instagram), including content planning, posting schedules, and engagement tracking.
  • Track performance of social media content and support branding initiatives.
  • Coordinate the preparation and dissemination of digital marketing materials
  • Assist in researching and make comparison of company's website and others.
10. Sales & Client Support
  • Supports in preparation, issuance and tracking of sales quotations in a timely and professional manner.
  • Maintain clear records of quotations and client correspondences for and including follow-up and reporting.
  • Assist in CRM updates and support pre- and post-sales administrative tasks.
  • Supports maintenance and research of market insights
