About the Role

We are looking for a proactive and detail-oriented individual to join our team on a temporary basis, providing essential administrative support. This role plays a key part in ensuring smooth office operations and assisting with various administrative functions, allowing our team to focus on strategic transformation initiatives.

Key Responsibilities

The successful candidate will manage comprehensive office administration, including:

  • Overseeing office supplies and equipment, coordinating procurement processes, and handling mail distribution.

  • Providing facilities management support, such as processing monthly bills and cost recovery submissions, coordinating maintenance services with vendors, and managing access control for staff and visitors.

  • Supporting council secretariat functions, including booking venues and arranging refreshments for meetings and events.

  • Liaising with contractors and property managers to address facility issues and communicating relevant updates to staff.

  • Ensuring compliance with safety guidelines and handling ad hoc administrative requests.

  • Preparing clear and user-friendly Standard Operating Procedures (SOPs) and instruction guides for administrative processes.

Requirements
  • Diploma or equivalent qualification with relevant administrative experience.

  • Strong organisational and coordination skills, with the ability to manage multiple stakeholders and vendors.

  • Excellent communication skills and proficiency in Microsoft Office Suite.

  • Attention to detail, experience in facilities management and procurement processes, and strong documentation and process mapping abilities.

  • Ability to work independently and manage diverse administrative tasks efficiently.

  • Working Schedule: Monday to Thursday: 8:30 am – 6:00 pm; Friday: 8:30 am – 5:30 pm
  • Working Location: Alexandra Road
  • Salary: $2580 – $4,400 (remuneration will be evaluated based on the experience and qualifications)
