We are looking for a highly capable Assistant to the Head of Administration & Human Resources. This role is designed for a "Force Multiplier"—someone who can take full ownership of the day-to-day business foundations while proactively building systems for the future.
You will be the Head of Administration & HR’s right hand. One moment you will be ensuring HR compliance and payroll are perfect (The Steward); the next, you will be researching IT infrastructure or coordinating revenue-driving partnerships as a support to the sales team (The Pioneer). We need someone who is too experienced to need hand‑holding, but hungry enough to dive into the "grit" of a fast-growing business.
1. HR & Compliance Architecture (60% Focus)
Full-Spectrum HR: Manage recruitment, payroll administration, CPF/IRAS submissions, and ensure strict compliance with Singapore Labour Laws.
Process Engineering: Take messy or manual workflows and turn them into simple, bulletproof Standard Operating Procedures (SOPs).
Office Governance: Oversee office administration, including vendor management, facility upkeep, and administrative budgets.
Employee Experience: Drive culture through wellness initiatives, staff engagement, and performance appraisal coordination.
2. Executive Strategic Support & IT (40% Focus)
IT & Systems Ownership: Act as the lead for internal tech projects. You will compare vendors, oversee firewall setups, and manage the overhaul of internal data storage systems.
Sales & Partnership Liaison: Assist the Head in coordinating strategic partnerships and initiatives that allow Sales Team & your manager to drive company revenue.
Product Expertise: Learn the specifications of our financial products (Property Financing/Factoring) to support sales execution and training.
Executive Efficiency: Act as a "Strategic PA"—executing research, coordinating high-level meetings, and managing major projects with minimal direction.
Experience: 3–5 years of progressive experience in HR, Admin, or Business Operations. Experience in a fast-paced corporate environment or startup is highly preferred.
HR Knowledge: Strong understanding of Singapore labour laws and HRIS systems. While we have support from Head of HRs, you must ultimately be able to handle HR independently.
Technical Savvy: You are a "problem solver" with technology. You can lead an IT vendor search, understand basic network security (firewalls), and implement new digital tools.
Business Acumen: Good with numbers; able to understand financial concepts and provide reports for management.
The Mindset: A "Go-Getter" who is proactive. You don’t wait for instructions for every step; you find the solution and bring it to the Head.
Education: Bachelor's degree in Human Resources, Business Studies, or equivalent.
