Job Title

Assistant Manager/Manager (Graduate Matters & Outreach)

Responsibilities
  • Support PhD student cohorts, track admissions, graduation checkpoints, and welfare matters in collaboration with host academic departments.
  • Manage I‑FIM scholarship budget, track allocation, expenses, and re‑forecasting.
  • Oversee the DSO Graduate Scholarship scheme, including project agreements, financing, WBS creation, budget tracking, and student obligations to the grantor.
  • Handle NUS Student Work Scheme pre‑employment and post‑employment steps: job posting, contracts, eligibility verification, timesheet monitoring, payment process, and record maintenance.
  • Track MSc and FYP student training, coordinate safety training, card access to labs, and exit administration.
  • Coordinate internship administration: offer letters, contracts, work pass applications, onboarding/offboarding checklists, status reporting, and policy compliance.
  • Support I‑FIM Principal Investigators on summer schools and workshops: participant registration, indemnities, venue logistics, certificates, overseas participant travel, and financial matters.
  • Source scholarships, fellowships, and prizes; support I‑FIM PIs on outreach, student selection, and interview activities.
  • Manage conference and event administration: speaker liaison, flight and accommodation booking, withholding tax information, event invitation letters, certificate preparation, finance matters, event secretariat support, and general event enquiries.
Qualifications
  • At least 5 years working experience in a university setting, with preference for experience in managing students or academic matters.
  • Good communication skills (spoken and written).
  • Good organisational skills with a track record of planning, development, and project coordination.
  • Demonstration of resourcefulness and creative solution‑seeking.
  • Good interpersonal and stakeholder management abilities.
  • Passion for working with students and junior scientists.
  • Familiarity with university policies and schemes would be an asset.
