Assistant Manager, Clinical Operations (Surgical)

Family Group: Administration

Broad Function

Support Clinical Departments within the Division of Surgery with development and/or expansion of services and processes to ensure safe and efficient care for the patients.

Work with the respective Enterprise Teams to drive the following areas, namely,

  • Clinical and Non-Clinical Workflows
  • Implementation of Improvement initiatives and projects
  • Procurement
  • Monitoring and Trending of Performance Indicators
Specific

Work with manager and key stakeholders to support the activities in the following key areas:

  • Day to Day Operations (Business As Usual, BAU)
  • Under the manager’s guidance, review and develop workflows, standard operating procedures, work instructions and Business continuity plans (BCP) etc for the efficient running of services and good patient experience.
  • Facilitate resolution of billing/charging investigations and resolution.
  • Under the manager’s guidance, monitor, trend and review clinical departmental KPIs with Clinical HODs.
  • Procurement
  • Administrative and secretariat support for purchase related activities for medical and non-medical equipment including hospital wide standardisation of equipment and workflows, management of funds, procurement, evaluation and award.
Clinical Operations
  • Support Clinical department in the service development for approved LMCs through analysis of service needs
  • Data collection and analysis to support justification and utilization studies
  • Participate in Improvement Projects as assigned
Expansion and Implementation of New Services (under manager’s guidance)
  • Coordination work related to infrastructure and system readiness
  • Coordination of manpower readiness for staff including training and orientation
Resource management
  • Work with departmental HOD/clinicians and relevant stakeholders for sufficient and efficient use of resources allocated to the department eg. SOC, OT etc.
Events management
  • Plan, organize and execute departmental events such as public engagement forums, staff educational seminars/trainings, department retreat, partners engagement forums etc.
  • Support the putting up of annual departmental budgeting (Capex, Opex)
Strategic Involvement (under manager’s guidance)
  • Support the development of departmental workplans and implementation.
Project management
  • Management of timelines to ensure timely follow-up and closure of key action items
  • Logistics and meeting arrangements
Secretariat Duties
  • Supporting secretariat (as assigned) for department meetings, divisional meetings, inter-divisional meetings, programme meetings etc.
General

Where directed by Head or Director, Clinical Operations, to support in other projects and tasks.

Job Requirements
  • University Degree
  • At least 3-4 years of related experience in a similar capacity, preferably in an operations or service background
