An international performance solutions company located in Singapore is seeking an administrative professional to handle various tasks, including managing office supplies, coordinating travel arrangements, and supporting events. The ideal candidate will have strong organizational skills, communication abilities, and a background in office administration. Responsibilities also include liaising with vendors for contracts and monitoring equipment functionality. This position offers an engaging environment in a dynamic company.
To attend to all incoming calls and visitors to the office
Support in lunch orders and/or event functions
To coordinate with relevant stakeholders that office equipments are functioning properly, including work ing with IT on printers, etc
To liaise with maintenance/facility re breakdown of air-conditioners
To monitor and replenish all printing / stationery supplies or groceries for the entire office
To source and request for quotations on all capital acquisitions and miscellaneous supplies and verification of these invoices thereafter.
Opening of all incoming mails (except those marked “Private and Confidenital” and personal letters) and distribute to respective departments
To arrange both local and overseas courier services
Coordinate overseas travel arrangements; booking of flights and hotel accommodation
Making local hotel reservations for incoming guest
Support with events, i.e. Town Hall, Office Celebrations, etc
Liaise with vendors for on contract renewal. Facilitate negotiations and review any needed changes with stake holders prior to renewal. E.g Cleaning, hygiene, water supply, security and transport vendors.
Contact respective vendors for carpet cleaning, grass cutting, window cleaning periodically.
Support and coordinate request for name card printing.
Communicate with sales and technical persons in different countries
Follow up with reports from sales and technical
Maintain the reports data base
Meeting arrangement with sales and technical
Monitoring sales and technical persons movement
Follow up document sign from various departments
Any other administrative duties assigned as and when required
