Overview

The Administrative Assistant will support day-to-day operational activities related to the Vehicle Entry Permit (VEP) application process. The role requires strong administrative proficiency, attention to detail, and the ability to understand and verify application submissions to ensure accuracy and compliance with regulatory requirements.

Key Responsibilities
  • Manage end-to-end VEP application processing, including data entry, document verification, status tracking, and submission updates.
  • Review all incoming applications to ensure completeness, accuracy, and compliance with relevant policies and guidelines.
  • Liaise with applicants to obtain missing information, clarify discrepancies, and provide timely updates on application status.
  • Coordinate with internal teams and external stakeholders to resolve application issues and ensure smooth processing.
  • Maintain organized records, documentation, and audit trails for all VEP submissions.
  • Prepare and update reports, dashboards, and trackers related to VEP processing metrics.
  • Respond to enquiries via email, phone, or in-person, providing clear and professional guidance on the VEP application process.
  • Support general administrative duties such as filing, scheduling, correspondence, and other assigned tasks.
Requirements
  • Prior administrative experience, preferably in application processing, compliance, or customer service.
  • Strong ability to understand and interpret application requirements and supporting documents.
  • High level of accuracy, organization, and attention to detail.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with digital submission portals or workflow systems.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Ability to work independently and manage high-volume tasks efficiently.
