Position: Administrative Assistant / Admin Executive

About Us

We are a growing waterproofing and building maintenance company providing high-quality solutions for residential, commercial, and industrial clients. We are looking for a responsible and organised Admin Assistant to support daily operations and ensure smooth workflow in the office.

Job Responsibilities
  • Administrative & Office Support
    • Handle phone calls, WhatsApp enquiries, and email correspondence
    • Prepare quotations, invoices, delivery orders, and project documents
    • Manage filing, data entry, and maintain customer records
    • Assist in scheduling site appointments and coordinating technicians
    • Update job progress and follow up with clients
    • Prepare monthly payslips, attendance records, and basic HR documents
  • HR & MOM-Related Duties
    • Handle MOM-related activities including: Work permit applications, renewals, cancellations
    • Updating worker details in MOM systems
    • Maintaining HR records (contracts & insurance)
    • Liaise with agencies and external partners when needed
  • Operations Support
    • Assist in purchasing materials and tracking inventory
    • Prepare weekly/monthly reports for management
    • Coordinate with suppliers, contractors, and clients
    • Ensure documentation is accurate and properly stored
  • General Support
    • Provide administrative support to the Project Manager
    • Perform other ad-hoc office duties as needed
Requirements
  • Preferably 1–2 years admin experience (construction/waterproofing industry a plus)
  • Basic knowledge of Microsoft Office / Excel
  • Good spoken and written English
  • Able to multitask and work independently
  • Responsible, organised, and willing to learn
  • Singaporeans / PR preferred
Working Hours & Benefits
  • Monday to Friday (9am – 6pm)
