Position: Administration and Finance Manager
Location: NTU Centre for Contemporary Art, Singapore

NTU Centre for Contemporary Art Singapore (NTU CCA) is a national research centre of Nanyang Technological University. NTU CCA positions itself as a space for critical discourse and encourages new ways of thinking about Spaces of the Curatorial in Southeast Asia and beyond. Located within Singapore’s visual arts precinct, Gillman Barracks, the Centre focuses on curatorial practice as a form of research that combines multiple systems of knowledge to support biocultural sustainability. Through exhibitions, residencies, research initiatives, and academic education, the Centre is committed to advancing art and interdisciplinary innovation in Singapore, the Asia-Pacific region, and internationally.

The Master of Arts in Museum Studies and Curatorial Practices (MSCP) at Nanyang Technological University—one of Southeast Asia’s most respected and dynamic programmes in its field—is administered under NTU CCA.

Role Overview

This role ensures strong financial controls, efficient administrative systems, well-managed facilities, and high-quality postgraduate programme administration that supports academic excellence, student success, and robust research collaborations. The successful candidate will report to the Senior Assistant Director, Business Operations Management, and will be responsible for operational areas including, but not limited to, the following:

Key Responsibilities:

Financial Management

  • Manage and monitor annual budgets, grants, and project finances for the Centre’s activities.
  • Track income and expenditure across research projects, postgraduate programmes, and general operations.
  • Process payments, invoicing, payroll, and staff reimbursements.
  • Maintain accurate financial records in accordance with NTU guidelines, grant requirements, and regulatory standards.
  • Prepare financial reports for management, grant reporting, and audits (as required).
  • Support budgeting and financial reporting for grant proposals.

Administrative & Operations Management

  • Oversee the day-to-day administrative operations of the Centre.
  • Implement and maintain administrative systems, policies, and procedures.
  • Manage procurement processes, contracts, vendor relationships, and service standards.
  • Provide logistical and operational support for research collaborations, programming activities, teaching sessions, workshops, and events.
  • Oversee the management, maintenance, and safety of Centre facilities.
  • Coordinate repairs, maintenance schedules, and service contracts.
  • Ensure compliance with health, safety, and environmental regulations.
  • Assist with space allocation, office setup, equipment management, and asset registers.
  • Provide administrative support for postgraduate course enrolment and course registration matters.
  • Ensure all programmes and operations comply with NTU policies and guidelines, academic regulations, accreditation requirements, and reporting obligations.
  • Support onboarding and contract management for lecturers and temporary staff.
  • Maintain staff- and student-related records in compliance with data protection requirements.
Job Requirements:
  • Bachelor’s degree in Finance, Management, Business Administration, or a related field.
  • Minimum of 4 years’ relevant experience in a similar role or environment.
  • Competency in operational finance, including budgeting, expenditure tracking, and financial reporting.
  • Experience in grant administration, including fund utilisation tracking and compliance with funding requirements.
  • Proficiency in office and administrative systems (e.g. spreadsheets, databases, SAP HANA, and document management tools).
  • Self-motivated and adaptable, with the ability to multitask and work independently under tight deadlines.
  • Detail-oriented with strong organisational skills and the ability to manage complex operations and competing priorities.
  • Resourceful and proactive in addressing challenges.
  • Strong interpersonal and communication skills, with the ability to work effectively across academic, administrative, and external stakeholders.
  • Able to work independently while contributing effectively as part of a team.
  • Demonstrates sound judgement, discretion, and a high level of professionalism.
