Responsibilities
Team Introduction
- The Project E team is part of the Corporate Services (CS) department and is responsible for the design, implementation, and management of executive support programs. The team is comprised of experienced and passionate administrative, protective and medical professionals from diverse backgrounds across security, military, law enforcement, medical, hospitality and transportation sectors.
- Accompany leaders on business trips around the world, including but not limited to China, on a frequent basis;
- Assist on travel and visit arrangements and logistics, including the development of itineraries, background/country briefings, flights, visas, accommodation, and expenses;
- Conduct risk assessments and recce in preparation for executive travels to identify potential or immediate risks on site and take mitigation actions;
- Accompany leaders at internal and external business meetings and events to ensure smooth operation;
- Coordinate with workplace security teams and streamline workplace security processes to create a safe work environment;
- Provide emergency response support to any unexpected safety, security and medical situations;
- Provide chauffeur service to the global leadership team members locally or internationally;
- Perform daily checks and maintenance on cars to ensure their operational conditions;
- Assist and support in administrative duties and tasks when needed.
Qualifications
Minimum Qualification:
- Bachelor's in Business Administration, Administrative Management or related fields.
- 3 years of substantial administrative experience working with senior key personnel in the tech industry. Reliable, punctual, safety conscious with a strong sense of responsibility and risk management.
- Proficient in first aid skills including but not limited to Cardiopulmonary Resuscitation (CPR) and Automated External Defibrillator (AED), with certification from reputable organizations.
- Proficient in speaking and writing Chinese and English as this role will require communicating with external stakeholders based in mainland China. Good diversity culture mindset, customs and practices. Able to effectively interact with regional teams on a regular basis.
- Prior experience in supporting detailed international travel arrangements for senior management/executives, especially in China; deep understanding of China risk landscape.
- Must be willing and able to travel frequently, and on short notice for ad-hoc tasks. Able to work flexible hours and travel on a frequent basis, including some weekends as needed.
- Valid driving license with more than 3 years of driving experience. Able to drive in China and Singapore.
Preferred Qualification:
- Work experience in a large scale global technology company is preferred.
- Educational background in Risk Management, Security Management, Tourism or Hospitality is preferred.
