Job description

Tang Thomas LLC is a lean, high‑autonomy law firm built on trust, excellence, and a deep respect for the people we work with. We are looking for a committed, organised, and people‑centred Admin & Litigation Support Executive to join our team.

This is a hybrid role that blends firm operations, client experience, and litigation support — ideal for someone who enjoys variety, ownership, and meaningful responsibility. There can be opportunities to grow into Office Manager as the firm expands.

What This Role Is About

You will be the operational heartbeat of the firm — supporting our lawyers, caring for our clients, and ensuring the office runs smoothly. You’ll work closely with the two Co‑Managing Partners and support all five lawyers, including four litigation partners.

What Suits Someone Who…
  • Thrives in a lean, high‑trust environment
  • Enjoys taking ownership and improving systems
  • Is warm, reliable, and comfortable interacting with clients
  • Wants a long‑term role with real progression
Key Responsibilities
1. Office & Administrative Operations
  • Manage scheduling, calendars, and meeting coordination for the firm
  • Oversee file management (physical and digital) and ensure proper organisation
  • Handle office management: supplies, vendors, maintenance, and third‑party service providers
  • Manage the firm’s phone line, front‑office greeting, and client reception
  • Support onboarding of new clients and maintain client records
  • Organise firm events, internal gatherings, and team activities
  • Manage social media accounts (posting, scheduling, light content coordination)
2. Finance & Billing Support
  • Prepare and issue invoices
  • Track payments and assist with bill chasing
  • Manage expense claims, petty cash, and vendor payments
  • Support basic bookkeeping and liaise with external accountants where needed
3. Litigation Support
  • Assist all litigation partners with correspondence and court communications
  • Prepare, paginate, and file bundles
  • Handle eLitigation filing and submissions
  • Manage case timelines, deadlines, and document organisation
  • Support lawyers with simple drafting (letters, cover emails, administrative correspondence)
  • Coordinate hearing logistics and assist with court‑related tasks
What We’re Looking For
Skills & Experience
  • Prior experience in a law firm or professional services environment is an advantage
  • Familiarity with litigation processes (bundling, eLitigation) is helpful but not mandatory
  • Strong organisational skills and attention to detail
  • Comfortable with technology and digital workflows
  • Good written and verbal communication skills
Personal Qualities
  • Warm, grounded, and people‑oriented
  • Proactive, resourceful, and able to work independently
  • Comfortable managing multiple tasks in a fast‑moving environment
  • Values integrity, teamwork, and professionalism
  • Takes pride in creating a smooth, supportive experience for colleagues and clients

  • Lead operations
  • Shape internal processes
  • Take on higher‑level administrative and strategic responsibilities

  • Full‑time role
  • Hybrid
  • Office located in CBD
