Job summary

A local educational institution in Singapore is seeking an Administrative Assistant to handle inquiries from prospective families, assist in daily operations, and maintain student and staff information. The role includes basic bookkeeping, responding to inquiries, and assisting in the admissions process. We require a detail-oriented individual who can enhance administrative systems and collaborate effectively with the leadership team. This is an essential role that supports the school's operational efficiency.

Responsibilities

  • Assist Office Manager in daily operations and documentation.
  • Enhance administrative systems and processes within the school.
  • Maintain up-to-date student and staff information.
  • Assist in invoicing and basic book-keeping.
  • Organize office operations and procedures.
  • Respond to parent inquiries regularly.
  • Assist families in the admissions process.
  • Create reports for management submissions.
  • Attend to front desk matters and maintain cleanliness.
  • Update staff on changes affecting operations.
  • Liaise with Quality Assurance Executive for documentation.
  • Monitor school enrolment and provide statistics.
Job description
Key Responsibilities
  • Act as first point of contact for any inquiries from prospective families.
  • Assist Office Manager in daily operations (maintaining Edutrust Manuals, standard operating procedures and relevant documentation in line with EduTrust requirements).
  • Continually enhance the administrative systems and processes in the school in consultation with the Office Manager, CEO and / or leadership team.
  • Maintain and keep up-to-date all student information in school management system and hard copy student admin folders.
  • Maintain and keep up-to-date staff information on school management system and NAS.
  • Basic book-keeping, assist in invoicing and issuance of receipts.
  • Maintain office services by organising office operations and procedures.
  • Monitor and respond to parent / customer inquiries (during school term and when on holiday at least once per week).
  • Assist prospective families in admissions process (start to finish).
  • Create reports for submission to management (e.g., monthly staff attendance, admissions figures, etc.).
  • Attend to front desk matters, maintain cleanliness and aesthetics of front desk.
  • Assist in updating staff on changes in routine, events, information relating to students / parents / vendors / other day-to-day operations.
  • Liaise with the Quality Assurance Executive to ensure all standard operating policies and Edutrust documentation are accurately prepared and filed.
  • Maintain and update data for enquiries, applications, tours and events, monitor current school enrolment and potential joiners and leavers and provide monthly and annual data / stats.
