Job description

The Admin Executive plays a crucial role in ensuring the smooth and efficient operation of the office and supporting the Executive Wealth Director. This position requires strong organizational skills, attention to detail, excellent communication abilities, and a proactive approach to problem-solving. The Admin Executive will handle a diverse range of administrative and clerical tasks, contributing to a productive and well-organized work environment.

Key Responsibilities:
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff and management.

  • Help organize company events, workshops, and team-building activities.

  • Conduct basic research and compile information as requested.

  • Draft and proofread correspondence, emails, and internal communications.

  • Liaise with vendors, suppliers, and external service providers.

  • Facilitate internal communication flow between departments.

  • Handle confidential information with discretion and professionalism.

  • Accurately enter and update data in various systems and databases.

  • Maintain and organize company records, contracts, and confidential documents.

  • Generate reports and summaries from collected data.

  • Handle incoming and outgoing mail, couriers, and deliveries.

  • Manage and direct phone calls, taking messages and providing information as needed.

  • Maintain and update filing systems (physical and digital) to ensure easy retrieval of documents.

  • Assist with the preparation of presentations, reports, and other documents.

  • Manage office equipment (printers, copiers, projectors) and coordinate maintenance/repairs as required.

  • Maintain a clean, organized, and professional office environment.

  • Manage office supplies inventory, place orders, and ensure timely replenishment.

  • Undertake any other administrative duties or special projects as assigned by management.

Requirements:
  • Candidate must possess at least GCE "A" Level & Above

  • No or minimum experience required

  • Proficient in MS Office

  • Able to communicate well and pro-active

  • Able to work independently and attention to detail

  • Positive working attitude, hardworking, and willing to take up challenges.
