Job summary

A recruitment agency in Singapore is seeking an Administration and Office Support professional to oversee daily office operations and manage HR administration tasks. The ideal candidate will have experience in handling invoices and sales orders, as well as strong organizational skills. This position requires someone who can maintain accurate records, coordinate meetings, and support the finance functions related to monthly reconciliations and cash movements. Administration & Office Support
  • Oversaw and coordinated daily office operations to ensure smooth workflow.
  • Managed local minor purchases, scheduled tasks, and coordinated jobs efficiently.
  • Prepared quotations and followed up with clients or vendors.
  • Handled staff attendance, timesheets, overtime, and expense claims accurately and on schedule.
  • Supported HR administration, including onboarding documents, leave tracking, and personnel records.
  • Coordinated meetings, travel arrangements, and company events as required.
  • Maintained an organized filing system (hardcopy and digital) for easy reference and audit readiness.
  • Communicated with vendors, service providers, and customers, ensuring timely follow-up and support.

Accounting & Finance Support
  • Prepared and processed sales orders, invoices, and delivery orders with accuracy.
  • Conducted monthly reconciliations for banks, suppliers, and customer accounts.
  • Maintained accurate GST records and assisted with timely submission.
  • Prepared and issued Statements of Account (SOA) for customer payment follow-ups.
  • Updated inventory and sales order reports to reflect real‑time data.
  • Verified bank transactions against company records to ensure all cash movements are accounted for.
