Job summary

A leading manpower agency in Woodlands is urgently seeking an Administrative Support professional. Responsibilities include managing meetings, organizing events, and supporting HR tasks. The ideal candidate should have a Diploma in Administration & Management n.e.c., excellent communication skills, and experience in corporate environments. This is a 12-month renewable contract position.

Qualifications

  • Energetic, proactive, and quick learner with a positive attitude.
  • Previous experience in a corporate environment supporting senior leaders preferred.
  • Experience working in cross-functional, multi-site, or multi-time zone teams is a plus.

Overview

Location: Woodlands

Employment Type: 12-month contract (renewable)

Working Hours: Regular Office Hours

Responsibilities
  • Arrange and manage meetings, appointments, and provide timely reminders.
  • Coordinate meeting logistics, including internal and external participants.
  • Organize events such as team offsites, team-building activities, and department celebrations.
  • Support HR-related tasks and assist team members as required.
  • Manage office mailboxes, cubicles, and office space allocation.
  • File expense reports and ensure timely reimbursements.
  • Monitor, order, and maintain office supplies.
  • Develop and maintain an efficient documentation and filing system.
  • Handle travel coordination, including visa applications, bookings, and travel claims.
  • Schedule meetings with suppliers and internal visitors; manage office reservations.
  • Assist with new hire onboarding setup (systems, phones, workspace, etc.).
  • Process payment requests via Ariba/POs, p-card, AmEx, SAP as required.
  • Distribute incoming mail and packages efficiently.
