Location: Woodlands
Employment Type: 12-month contract (renewable)
Working Hours: Regular Office Hours
Responsibilities
- Arrange and manage meetings, appointments, and provide timely reminders.
- Coordinate meeting logistics, including internal and external participants.
- Organize events such as team offsites, team-building activities, and department celebrations.
- Support HR-related tasks and assist team members as required.
- Manage office mailboxes, cubicles, and office space allocation.
- File expense reports and ensure timely reimbursements.
- Monitor, order, and maintain office supplies.
- Develop and maintain an efficient documentation and filing system.
- Handle travel coordination, including visa applications, bookings, and travel claims.
- Schedule meetings with suppliers and internal visitors; manage office reservations.
- Assist with new hire onboarding setup (systems, phones, workspace, etc.).
- Process payment requests via Ariba/POs, p-card, AmEx, SAP as required.
- Distribute incoming mail and packages efficiently.
Qualifications
- Diploma in Administration & Management n.e.c.
- Energetic, proactive, and quick learner with a positive attitude.
- Previous experience in a corporate environment supporting senior leaders preferred.
- Experience working in cross-functional, multi-site, or multi-time zone teams is a plus.
- Proficient in Office 365, Teams, SharePoint, and other office automation tools.
- Experience assisting with project management is an advantage.
- Excellent verbal and written communication skills.
- Self-motivated, detail-oriented, strong problem-solving skills.
