We are seeking a proactive, detail‑oriented Administrative & Finance Operations Executive to join our team. This hybrid role combines office administration, employee support, and operational accounting coordination. The successful candidate will ensure smooth day‑to‑day office operations while supporting internal finance workflows, compliance activities, and corporate events.
Provide general administrative support and ensure smooth office operations.
Coordinate maintenance and repairs for office equipment, air‑conditioning units, company vehicles, and safety systems (fire extinguishers, sprinklers, etc.).
Manage procurement of stationery, pantry supplies, courier services, and subscriptions.
Raise purchase orders and maintain electricity usage records.
Handle document disposal and liaise with building management on lease, parking, and maintenance matters.
Maintain employee records, including attendance and training data.
Track dental and medical insurance entitlements and support corporate insurance matters.
Organize health screening initiatives and manage internship arrangements.
Oversee petrol card entitlements and support expatriate tenancy issues (e.g., AC, electrical faults).
Handle document filing and verification for AP/AR and GST processes.
Check supporting documents such as invoices, delivery orders, and contracts.
Support SAP accounting workflows for sales and purchase entries, payments, and vendor/customer bank registration.
Assist with ledger‑related activities (knowledge required; no accounting entries involved).
Ensure all workflows comply with internal control standards and corporate policies.
Participate in process improvement and digitalization efforts.
Oversee office security matters and ensure proper maintenance of company contracts, agreements, and internal records.
Maintain up‑to‑date filing structures and compliance documentation.
Arrange business travel, hotel bookings, and visa applications.
Assist in planning and coordinating company events such as annual dinners, quarterly meetings, and internal gatherings.
Manage catering and logistics for in‑house events.
Diploma or Degree in Business Administration, Finance, Accounting, or related fields.
At least 1–3 years of experience in administration, operations support, or accounting coordination.
Familiarity with SAP or similar ERP systems is an advantage.
Strong organizational skills, attention to detail, and ability to multitask.
Good interpersonal and communication skills to work with cross‑functional teams.
Proactive, responsible, and able to work independently.
