About Our Client:
Our client is seeking a Family Office Accounts & Admin Executive to support the setup and daily operations of a newly established family office. You will assist with accounting tasks, maintain financial records, update the investment portfolio, and handle general administrative duties to ensure smooth day-to-day operations.
Key Responsibilities:
- Maintain Financial Records: Record and update accounting entries, including expenses, invoices, reimbursements, and other routine transactions.
- Realized Income Booking: Record interest income, dividend income, coupon payments, and related portfolio income accurately and in a timely manner.
- Update Portfolio Valuations: Update the investment portfolio to reflect changes in market value and ensure accurate mark-to-market reporting.
- Prepare Reports & Documentation: Prepare meeting minutes, assist in compiling financial summaries, and support the preparation of information required for annual reporting.
- Support Family Office Setup: Assist with the preparation, coordination, and submission of required documents during the establishment of the family office.
- Support Payment Processing: Assist with payment preparations, ensure proper documentation, and maintain organised records for audit and compliance purposes.
- Liaise with external parties: Coordinate with auditors, HR consultants, and service providers on documentation and operational matters.
- Ensure Compliance & Accuracy: Ensure accounting records and processes comply with trust company requirements, internal controls, and regulatory standards.
Requirements:
- Diploma or degree in Accounting, Finance, or a related field.
- Two years of experience in a similar capacity.
- Experience or familiarity with QuickBooks or similar accounting software.
- High attention to detail and accuracy in data entry and reconciliation.
- Proficiency in Microsoft Excel and familiarity with accounting software is a plus.
- Good organisational skills and ability to manage multiple deadlines.
- Good communication skills when coordinating with service providers.
- Ability to work independently in a lean, fast-paced family office environment.
- Willingness to learn and take on broader responsibilities as the family office grows.
