Responsibilities

Sales Operations & Support

  • Coordinate internal, external, and management sales meetings; minute-taking as needed and tracking of action items
  • Manage travel arrangements for the sales team
  • Support daily sales operations and team requirements
  • Oversee sales collateral inventory and ordering (e.g., brochures, product illustrations)
  • Process expense claims and sales documentation
  1. Liaise with Operations for processing and translation
  2. Maintain organized filing systems and data entry
Reporting & Performance Analysis
  • Prepare and deliver, regular (daily, weekly and monthly) management reports
  • Analyze sales performance and incentive structures; conduct scenario design and testing
Campaign & Process Optimization
  • Draft campaign papers with scenario planning and progress tracking
  • Identify and implement process improvements and automation opportunities
  • Document and optimize workflows to improve productivity and reduce redundancies
Events Management
  • Plan, co‑ordinate and execute AIA IW events from venue sourcing and related logistics planning
  • Development of proposals and detailed plans to support the technical aspect for the events
  • Planning and executing events to increase positive rapports with Business Partners
Vendor Management
  • Conceptualize and prepare event proposals customized to individual event and to ensure that its within budget & cost
  • Ensure that all vendors quotations and event proposals are presented accurately & effectively within company’s compliance policy

Other additional duties as assigned by Head of Sales and Distribution

Requirements
  • Minimum 2 years of experience sales, admin and event support and related
  • At least Diploma holder / A Levels
  • Strong written and verbal communication skills; detail-oriented and self-driven
  • Excellent judgment, organizational, and time-management capabilities
  • Resourceful team player with a proactive, can‑do attitude
  • Ability to build and maintain effective relationships across internal and external stakeholders
  • Adaptable and thrives in a dynamic, fast‑paced environment
  • Willingness to learn and operate effectively in ambiguous situations
  • Independent and self‑motivated, with a balance of creativity and execution
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, MS Teams)
  • Advanced Excel skills is advantageous (e.g., formulas, pivot tables)
  • Basic accounting knowledge is a plus
  • Strong critical thinking and high attention to detail
  • Meticulous, efficient, and positive mindset
  • Able to handle dateline pressures and intense workload
  • Proficiency in Mandarin is required as the role involves liaising with Mandarin‑speaking clients and handling Chinese documents
