The role requires superb organizational skills, calendar management, and preparation of agendas, minutes, and presentations. You will coordinate finance workflows, maintain reports and budgets, and liaise with Finance, HR, Legal, Procurement, and operations.

Qualifications

  • Bachelor's degree in Finance, Accounting, Business Administration, Management, or related field.
  • 3–6 years of executive assistance and finance administration experience.
  • Experience supporting senior executives (C-suite) preferred.
  • Strong understanding of finance & administrative processes.
  • Excellent MS Office skills (Excel, PowerPoint).
  • Strong organizational, time-management, and written/verbal communication skills in English.

Responsibilities

  • Provide comprehensive administrative and coordination support to the Deputy CEO and Deputy CFO.
  • Manage complex calendars, meetings, and executive schedules.
  • Prepare agendas, presentations, minutes, and follow-up actions.
  • Handle confidential correspondence and documentation with discretion.
  • Support management meetings and leadership reviews with documentation and reports.
  • Coordinate finance-related activities, tracking approvals, invoices, and expenses.
  • Assist with budget tracking and consolidation of management reports.
  • Coordinate travel, arrangements, and cross-department communications.

About the Role

Our client is a leading and well-established media and entertainment organization with a strong regional presence. The organization is seeking a highly organized, commercially aware, and detail-oriented Finance & Administration Management Assistant to provide high-level administrative, coordination, and operational support to the Deputy CEO and Deputy CFO.

Key Responsibilities
Executive & Management Support
  • Provide comprehensive administrative and coordination support to the Deputy CEO and Deputy CFO.
  • Manage complex calendars, meetings, appointments, and executive schedules.
  • Coordinate internal and external meetings, including preparing agendas, presentations, and supporting documentation.
  • Prepare meeting minutes, action points, and follow up with relevant stakeholders to ensure timely completion.
  • Coordinate executive correspondence, reports, presentations, and confidential documentation.
  • Handle sensitive business and financial information with a high level of discretion and confidentiality.
  • Support the executives in preparing for management meetings, leadership reviews, and strategic discussions.
Finance Coordination
  • Assist the Deputy CFO with day-to-day coordination of finance-related activities and requirements.
  • Organize and maintain financial reports, budgets, forecasts, presentations, and supporting documentation.
  • Coordinate with Finance, Accounts, Procurement, and other departments to obtain required information and documentation.
  • Assist in tracking financial approvals, invoices, payments, expenses, and other finance-related requests.
  • Maintain organized records of financial and administrative documentation.
  • Support the preparation and consolidation of management reports and presentations.
  • Follow up on pending financial approvals and ensure deadlines are met.
  • Assist with budget tracking and monitoring of administrative and operational expenses where required.
Administration & Operations
  • Coordinate administrative matters across departments and ensure timely follow-up on management requests.
  • Maintain structured filing systems for confidential corporate, financial, and administrative documents.
  • Coordinate travel arrangements, accommodation, meetings, and itineraries for senior management when required.
  • Assist with expense claims, purchase requests, contracts, and administrative documentation.
  • Liaise with internal departments and external stakeholders on behalf of the Deputy CEO and Deputy CFO.
  • Support the smooth execution of management-level administrative and operational requirements.
  • Maintain trackers for key actions, deadlines, approvals, and deliverables.
Stakeholder Coordination
  • Act as a central coordination point between senior management and internal departments.
  • Build effective working relationships with Finance, HR, Legal, Procurement, Operations, and other business functions.
  • Follow up proactively with stakeholders and escalation delays or critical matters where appropriate.
  • Ensure communication and documentation flow efficiently between management and relevant teams.
Requirements
  • Bachelor's degree in Finance, Accounting, Business Administration, Management, or a related field.
  • 3–6 years of relevant experience in executive assistance, finance administration, management support, or a similar role.
  • Experience supporting senior executives, C-suite leaders, CFOs, CEOs, or senior finance management is highly preferred.
  • Strong understanding of finance and administrative processes.
  • Excellent skills in Microsoft Office, particularly Excel and PowerPoint.
  • Strong organizational and time-management abilities.
  • Excellent written and verbal communication skills in English.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • High level of professionalism, discretion, and confidentiality.
  • Strong follow-up and stakeholder-management skills.
  • Ability to work independently and anticipate the needs of senior management.
