Role Context
The Executive Assistant will support assigned executives and work groups by maintaining the administrative structure behind daily project and office operations. The role combines traditional executive support with reporting, timekeeping, budget assistance, employee records, facilities coordination, and document preparation. Effective performance in this position will help leadership maintain accurate information, reduce administrative delays, and keep staffing, reporting, and operational activities properly organized.
Key Responsibilities
- Prepare, edit, format, and distribute professional correspondence, reports, presentations, spreadsheets, and executive documents.
- Develop narrative reports, graphical summaries, and supporting materials for management review.
- Draft routine correspondence and administrative reports that do not require direct executive preparation.
- Answer and route telephone calls professionally and ensure messages reach the appropriate recipients.
- Receive, organize, and distribute mail and other incoming communications.
- Maintain orderly administrative records and ensure documents are available when required.
- Collect statistical and operational data from relevant teams and consolidate information into established reports.
- Review submitted data for completeness, consistency, and accuracy.
- Develop new reports or revise existing spreadsheet, graphical, and narrative reporting formats when requested.
- Distribute approved reports to internal and external recipients according to management instructions.
- Perform preliminary reconciliations of supplier invoices against supporting records and file documentation.
- Review employee time reports for accurate hours, project numbers, and Work Breakdown Structure charges.
- Follow up with employees and supervisors where timekeeping discrepancies require correction.
- Track paid-time-off balances and maintain planned absence schedules for assigned personnel.
- Maintain current employee directories, staff information, company resumes, and records of role changes.
- Update relevant internal systems when staffing, reporting lines, or workplace locations change.
- Maintain equipment records, service history, and planned maintenance information.
- Initiate repair or service requests for office equipment when required.
- Gather basic operating and financial information to support preparation of unit overhead budgets.
- Prepare recurring budget-related reports and administrative financial summaries.
- Assist with preliminary financial tracking and reconciliation activities.
- Coordinate seating plans, office layouts, and physical workspace requirements for the assigned unit.
- Arrange requests for computers, telephones, and other office equipment for new or transferring employees.
- Coordinate workspace readiness to support employee onboarding and internal transfers.
- Update the Corporate Directory and related records following staffing or location changes.
- Monitor performance appraisal schedules with the immediate supervisor and follow up on pending requirements.
- Prepare administrative documents associated with promotions, transfers, and other authorized personnel actions.
- Compile staffing and occupancy reports by project, department, or business unit.
- Maintain confidentiality when handling employee, financial, executive, and operational information.
- Provide day-to-day guidance to junior administrative or clerical personnel where required.
- Coordinate professionally with employees, project teams, clients, suppliers, and government representatives as directed.
- Identify inefficient administrative practices and recommend practical workflow improvements.
- Manage multiple deadlines and competing priorities without compromising accuracy.
- Support supervisors and managers with non-routine assignments requiring judgment, organization, and follow-through.
Ideal Profile
- High school diploma or equivalent qualification.
- Minimum 6 years of progressive administrative or executive assistant experience.
- Previous experience in a fast-paced professional, engineering, construction, consulting, or project environment is advantageous.
- Strong proficiency in Microsoft Word, Excel, and PowerPoint.
- Skilled in preparing professional documents, spreadsheets, presentations, and reports.
- Experience handling timekeeping, staffing records, budgets, invoices, or similar operational administration.
- Strong attention to detail when reviewing data and documentation.
- Able to manage confidential and sensitive information appropriately.
- Excellent written and verbal communication skills.
- Strong organizational capability with the ability to prioritize several assignments simultaneously.
- Able to work independently while maintaining effective collaboration with executives and project teams.
- Comfortable coordinating with employees at different organizational levels.
